Responsibilities

The Administrative Services Associate Director will provide overall team management of a specific team of executive assistants and administrative assistants for Guidehouse globally. This role is expected to have strong team management skills in addition to a combination of technical and interpersonal skills. These services include but are not limited to:

Responsibilities Include:

· Accountable for all aspects of managing the executive assistant and administrative assistant team to ensure that the team operates efficiently, balancing the available resources to maximize service levels, company culture, and employee satisfaction.

· Coordinate with the team members to ensure seamless execution of administrative services responsibilities, balancing resources and budget to maximize efficiency.

· Develop and maintain relationships with the team with consistent check-ins to ensure continuity of quality service.

· Provide consistent, effective leadership to ensure that the executive assistant and administrative assistant team is appropriately trained, developed, equipped, and motivated to continually deliver achievement of business targets and expected service levels.

· Achieve skills development for each member of the team and drive team performance by developing and delivering high-impact coaching and training and providing thorough performance feedback on a regular basis.

· Develop supportive and trusted, collaborative relationships with the Facilities and Operations Leadership Team

· Identify/implement/manage the required and assigned Guidehouse training ensuring 100% compliance by all team members.

· Complete regular meetings with the team at an appropriate cadence.

· Promote Guidehouse culture and values and encourage an effective working environment.

· In coordination with Corporate Real Estate, maintain on-going informational communications regarding all Guidehouse offices globally to better inform and provide services to the Partners and Directors the team is assigned to support.

· Acts as a resource person regarding the department’s policies and procedures for the team.

· Provides guidance to staff in the development of projects, work methods and procedures.

· Provides ongoing coaching to optimize staff engagement and job performance.

· Provides training and onboarding to the executive assistant and administrative assistant team members.

· Leads employees using a performance management and development process which includes goal setting, performance feedback/appraisals, and performance development planning.

· Recommends procedural changes to improve team efficiency, including recommendations on staff requirements.

· Review/optimize administrative support assignments; ensure Practitioners have adequate support.

Qualifications

Required:

· Education

o Bachelor’s degree from an accredited institution

· Experience

o Minimum of 10 years of relevant experience, preferably including 3-4 years in a top-tier professional services firm.

o Familiarity with Workday, PeopleSoft and/or CRM systems a plus

o Experience in managing a moderate to large team of executive assistants and administrative assistants including managing team members across a wide geography

  • Technical :

  • Highly proficient in Outlook (including calendar management) and Microsoft Office suite (Word, Excel, and PowerPoint)

    o Ability to learn new software systems when necessary

  • Experience with Workday, Peoplesoft, Deltek, Concur and AgileQuest a plus.

    · Demonstrate ability to :

    o Act with discretion and maintain complete confidentiality

  • Establish and maintain strong working relationships at all corporate levels and with internal clients/stakeholders

  • Manage competing demands, priorities, and deadlines in a fast-paced environment and unexpected events with little difficulty

    o Manage a team of executive assistants and administrative assistant professionals across a diverse geographic region

    o Ability to manage performance of the team and provide appropriate training and coaching from a distance needed

    o Perform and prioritize multiple tasks seamlessly with excellent attention to detail and accuracy and be extremely effective working independently

  • Leverage and share knowledge with colleagues and their regional team(s)

  • Identify and resolve problems in a timely manner through gathering and analyzing of information.

  • Demonstrates sound judgment in decision making.

    o Prepare, read, and interpret written information and edit for content, spelling and grammar
