This position will require AD of Operations to work closely with the Director College Programs, and Assistant Director of Residential Services to support all enrolled students of the College Experience at Russell Sage College (enrollment of approximately 53 students). In addition to student support, the AD of Operations will also provide/support parents with program operations and guidance, respond and attend to families with problems or concerns regarding their student. The Assistant Director of Operations will work closely with other CE Coordinators at College Experience to problem solve general program issues for students and parents.

Student Support Services

• Attend student meetings, provide feedback and support to the family, CE team, care management on student progress and concerns

• Address individual student concerns & provide appropriate guidance as needed

• Attend waiver and private pay student intake meetings

• Active member assisting the CE team with student conflict resolution

• Teach 1-2 College Experience classes as needed per the semester schedule.

Billing and Documentation

• Assist with coverage, when needed, for running Day Hab billing claims with finance

• Complete and submit all necessary Netsmart (EHR) movement and discharge forms and ensures Netsmart enrollment for CE is accurate

• Completes and submits DDP2 for all enrolled students as needed

• Completes and submits all necessary DDP1 forms for: Day Hab enrollments, discharges, residential adds, transfers and discharges

• Works closely with residential benefit and finance assistant on a timely application for SNAP benefits for all new waiver students, assists with card activation

• Supervises all aspects of the College Experience intake for both OPWDD waiver applicants and private tuition including updating necessary documents with finance and nursing, meeting with admitted students/parents to review document requirements, collect and review student submitted documents for accuracy and disseminate all documents to necessary parties including finance, nursing, residential and Netsmart.

Parent Liaison

• Facilitate family communication on program questions and concerns for enrolled student in all formats (in person, email, phone, zoom).

• Actively listens and resolve challenging situations with parents

• Reports all family concerns to the CE team and Program Director

• Facilitate and supervise student support plans, resolutions, into place and updates team/parents as needed on progress

Administrative

• Attend weekly/monthly coordinator, staff and residential meetings

• Manages program logistics

• Assist in the development and implementation of operational policies and procedures to enhance program efficiency and effectiveness.

• Respond to emergencies and crises, ensuring the safety and well-being of students

• Assist admissions department with open houses as needed

• Work closely with Academic Coordinator and Admissions Counselors to support their departments as needed

• Responsible for organizing and supporting summer logistics for move-in of incoming and returning students

• Schedules bi weekly standing meetings with Admissions Team to review upcoming vacancies, monitor benchmark goals and project timelines

• Attend College Experience applicant student and parent interviews

• Schedule bi-weekly standing meetings with Academic Coordinator and Clinical Therapist and support as needed

Requirements

• BA required, MA preferred in special education, administration or related field

• Experience with operational support, preferably within a residential or school based setting

• Excellent verbal and written communication skills

• Ability to handle sensitive situations with empathy and discretion

• Minimum of 5 years’ experience with family communication and program support

• Ability to navigate ad resolve challenging situations with professionalism, utilizing strong problem-solving skills, emotional intelligence, and utilize conflict resolution strategies

• Knowledge of regulatory requirements and best practices with OPWDD (preferred)

• Strong organization and time management skills

Salary Description

$60,000
