Seasonal Part Time Temporary(with the potential of becoming a part time permanent position on a seasonal basis).
The Special Events Coordinator, in conjunction with the Director of Development, Annual Giving & Events Coordinator, and key volunteers, will be responsible for hands on planning and implementation of Equinoxs Annual Thanksgiving Community Dinner (T Day).
T Day provides 10,000 meals to our Capital Region neighbors in need many whom are homebound, elderly, food-insecure, homeless, or in other difficult circumstances. 2019 marks the 50th Anniversary of Equinoxs Annual Thanksgiving Community Dinner.
June through August-16 hours per week

November-40 hours per week for first 3 weeks, and 70-80 hours during Thanksgiving week, including Thanksgiving Day and day after
December-16 hours per week for 2 weeks
Overseeing Acquisitions working with experienced key acquisitions volunteer to inventory food/supply needs; requesting, confirming and tracking food and supply donations; coordinating donation pick-ups and deliveries with transportation coordinator; ordering non donated supplies; and post event inventorying.
Assisting with T Day Hotline Coordination provide assistance and support to the T Day Hotline Coordinator (experienced key volunteer); the T Day Hotline Coordinator sets up hotline operator stations, and oversees the databases used for this purpose; Hotline coordinator also recruits and trains hotline volunteers; The T Day Hotline coordinates all logistics for registering, instructing and confirming both the 3,700 T Day volunteers and nearly 10,000 meal recipients.
Assisting with Transportation of Food and Supplies work in conjunction with the T Day Transportation Coordinator to secure donation of loaner cargo truck, ensure security clearance at the Empire State Plaza for deliveries and drivers, and to coordinate transportation manifest for pick up and delivery of donations and equipment.
Coordinating Site Logistics for Two Locations Preparation for the dinner is conducted at the Empire State Plaza (ESP) through a partnership with NYS Office of General Services; 10,000 meals are prepared, of which 9,500 are distributed and delivered from the ESP with the remaining 500 meals prepared as a buffet style dinner delivered to and served at the First Presbyterian Church in downtown Albany. Site logistics coordination includes, but is not limited to: DOH Food Permit & Inspection, Certificates of Insurance, Logistical Meetings with Key ESP Entities & Lead Chefs, Delivery of Turkeys and other supplies, Operations Set-up and Breakdown, Volunteer Reception & Orientation, and Volunteer Drivers Line & Meal Distribution.
Assisting Development Team with T Day Specific Fundraising & Community Outreach including a direct mail appeal, online campaign, and community-based mini fundraisers.
Standing for long periods of time, 8-10 hours with sitting breaks throughout the shift.
