Alfred University Student Service Specialist in Alfred, New York

Responsible for providing the first line of service and guidance to students, faculty, and staff in all aspects of general registration support with knowledge of student account and financial aid processes within Student Service Center.  Responsible for data entry and clerical support.

Salary/Rate: $15.00-$17.00 per hour; 35 hours per week

Essential Functions

  • This position has no supervisor authority

  • Researching and problem solving to effectively guide and assist students, faculty, and staff via phone, email, and in-person with the best customer service.  Ensuring information provided is accurate and follows AU policies and procedures with in Federal and FERPA guidelines. Friendly, welcoming, detailed, informative and proactive

  • Maintains registrar email and phones. Organizing and filing documents and incoming emails. Checking all emails and working with other staff to ensure prompt responses. Ensuring all voicemails are returned promptly. Sets any out-office messages

  • Makes sure to appropriately file documents

  • Handles the majority of registration related data entry following proper procedures. Registration: add/drop and withdrawing all students from courses; process independent study forms and maintain records for titles; coordinate and process registration of non-degree students in Summer Term and Allen Term classes

  • Assist student accounts with in student service center for ensuring continued front-line service

  • Record changes in students’ curriculum records in Banner to include college or school, majors, minors, and concentrations

  • Research any questions or issues that arise with verification of degrees earned

  • Maintains a communication board with guidance from the assistant registrar

    Other Duties & Responsibilities

  • Perform essential Registrar’s Office duties shared with other members of the staff:

  • Assist, as needed, with fulfillment of transcript requests from students/former students

  • Preparation for Graduation, including data entry, document review, and organization of diplomas. Assist on stage at the commencement ceremony

  • Create and update student records as needed in the Banner Student Information System

  • Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people’s lives

  • Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students

  • Maintains a commitment to diversity, equity and inclusion and a high degree of cultural competence and respect for a wide range of identities and experiences, therefore welcoming and supporting all faculty, staff and students and expanding access to the AU experience.

  • Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment

  • Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols

  • Effective written and oral communication skills

  • Contributes to the overall success of the University by performing other duties as assigned

    Qualifications – Education & Experience, Knowledge, Skills & Abilities

  • Two year degree (Associates) is preferred.  Especially within service or business fields

  • At least two years of clerical, office and service experience is recommended

  • A self-starter who assumes responsibility for the work assigned and can complete projects with little or no supervision. The person must also be able to identify problems and have the knowledge of who to consult as problems arise

  • A detail-oriented person with the ability to analyze problems and find a solution. Must also have a high level of accuracy and efficiency to be able successfully make high volumes of entries into the Student Records system, while efficiently responding to phone and in-person inquiries at the front desk

  • Must have excellent organizational skills, to ensure that all records are properly filed in numerous locations so that they can be easily retrieved

  • Will need to be proficient in understanding the intricacies of the Banner Student Information system and how other departments will be affected by changes made through the Student Service Center

  • Computer skills are essential. Knowledge of word processing, database and spreadsheet software, particularly MS Office, and Adobe

  • Understand and appropriately follow policies, procedures, and state regulations

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  

    Personal Protective Equipment must be worn when required.  A respiratory function test and the ability to use respirators may be required.  Stairs and uneven surfaces may be present; artificial lifts, etc. may or may not be available.  The position may require the incumbent to walk outdoors in all types of weather to other buildings or offices located on the campus.  The Campus is located in an area that contains numerous hills and slopes and may not always be fully accessible for mobility impaired individuals.

    Job involves extensive typing and will occasionally need to move and lift boxes of paper, diplomas and other items.  Weekend work is minimal if any; but requires minimal hours of coverage during any holiday breaks that the university is closed.
