Budget Title: Senior Staff Assistant (SL-3)
Salary: Commensurate with experience
The Administrative Coordinator in the Biomedical Engineering (BME) Department supports the Chair in managing administrative and budgetary matters for the Department. He/she will work closely with the faculty, Dean's Office, and the other faculty and staffs throughout the campus. The principal responsibility of this position is to track tasks and workflow for the BME Department, including the following day-to-day responsibilities:
Fiscal:
Oversee department financial management
Develop a budget plan, track and report spending
Assist with compiling, analyzing, and presenting data on department metrics
Assist in the planning and development of sources of financial revenue
Assist with fiscal management of faculty research grants
Personnel:
Preparation of faculty personnel cases
Manage logistics, scheduling and maintain files corresponding to faculty recruitment
Maintain Affirmative Action compliance for faculty searches
Supervise undergraduate and graduate student assistants
Assist with documentation corresponding to immigration processes for new faculty members
Supervise and evaluate department administrative assistants
Academic Administration:
Assist with developing and tracking departmental curricular planning
Assist with student recruitment
Coordinate editing of graduate and undergraduate Bulletins
Build spring, summer, and winter courses
Coordinate collection and analysis as well as submission of documentation required to support compliance with accreditation requirements for the department
Oversee space usage and management of space allocated to the department
Collaborate with Watson Communication and Marketing Office to ensure that the department website info is up to date, and to create marketing materials for the department
General Administration:
Collaborate with Communications and Marketing to promote departments
Ensure all departments communications are up to date
Oversee departmental office and lab renovations
Job Requirements:
Bachelor's degree in business administrative or related field.
Demonstrated quantitative, analytical, organizational, and administrative skills.
Demonstrated excellence in interpersonal skills
Demonstrated experience working with people from diverse backgrounds
Two or more years of administrative experience in academic settings
Excellent written and oral communication skills
Meticulous with demonstrated ability to track details
Proficiency in analytical and computer skills (MS Word, Excel, PowerPoint, and other common office software)
Excellent organizational and time management skills
Ability to work with very sensitive and confidential information
Preferred:
Master's degree in Business Administrative or related field
Minimum of five years of administrative experience
Proficiency in processing and analysis of data in an Oracle database, Banner, or SAS Visual Analytics
Prior experience in higher education.
