Position Summary:

The Workers’ Compensation and Safety Coordinator is responsible for the day-to-day administration of FreshDirect’s Post-Injury Management program, Workers’ Compensation process and related elements of Fresh Direct’s employee health and safety management system for all FreshDirect locations. This individual works with operations, transportation, human resources, and legal groups to ensure that injured employees receive the appropriate care and treatment in accordance with FreshDirect policies and applicable laws and regulations. The Workers’ Compensation and Safety Coordinator also works with employees and appropriate third parties (e.g., insurance carriers, third party administrators, physician’s offices, etc) to ensure that FreshDirect employees receive appropriate medical care in a timely manner.

Essential Functions:

  • In accordance with FreshDirect post-injury management policy, will make contact with any FreshDirect employee who has reported a work related injury/illness to inquire as to the employee’s wellbeing, and if a medical evaluation is needed, coordinate appropriate care for an employee

  • Properly and in a timely manner classifies and reports appropriate injuries to third-party administrator and maintains OSHA 300 Log in accordance with OSHA Recordkeeping Guidelines

  • Reviews EH&S and workers’ compensation data for accuracy and makes necessary modifications to ensure that EHS performance indicators are up-to-date and accurate.

  • Maintains communication with ALL medical providers providing workers’ compensation medical treatment to FreshDirect employees to ascertain employee’s current status, ability to work in a transitional capacity, estimated date of maximum medical improvement and schedule of future treatments

  • Maintains weekly contact with all employees receiving workers’ compensation medical treatment and documents this contact in internal injury management software (EHS Portal).

  • Evaluates the care and quality of physician/clinic services.

  • Facilitates and participates in bi-weekly workers’ compensation claim reviews with third party administrator and occupational health services providers

  • Coordinates and monitors transitional duty activity by working with occupational health provider to obtain appropriate work restrictions, communicating restrictions to departments and aiding in the identification of appropriate work and communication between employee and department to ensure the employee’s return to work in a transitional capacity is managed properly.

  • Closely monitors the transitional duty program to ensure that overall transitional duty timeline is honored, employee’s rehabilitation process is progressing as expected and transitional duty work is being adjusted in accordance with employee’s restrictions so that employee is gradually transitioning to more demanding work as work restrictions allow. Coordinator is also responsible for identifying situations where transitional duty may need to be suspended or terminated should the employee be unable to return to full duty within the limited transitional duty period.

  • Coordinates monthly “check-in” process for employees who have been out of work for greater than one month by identifying employees, informing employees/and treating physician of the program and working with participating departments to schedule check-in activities.

  • Manages all aspects of “first aid only” claims, including: updating the employee portal, reporting appropriately to third party administrator, retaining all appropriate documents for medical treatment and ensuring that all fees for medical treatment are re-priced in accordance with applicable regulations and paid in a timely manner.

  • Assists department directors and managers in understanding the workers’ compensation performance of their department through reports generated through our employee portal and third party RMIS software.

  • Ensures that all state-required workers’ compensation forms (e.g. C-11, C-240) are filed correctly and in a timely manner.

  • Gain and maintain knowledge of New York, New Jersey and Pennsylvania workers’ compensation laws.

  • Provide support to the safety department via maintaining safety scorecard data.


Supervision Received:

  • Plans and carries out work assignments and handles problems in accordance with instructions, policies, previous training, or accepted practices in the occupation. Consults with the Director of Environmental Health and Safety on unique situations which do not have clear precedents

Supervisory Duties:

  • No supervisory responsibility but is responsible for managing a specific function

Knowledge, Skills, and Abilities:

  • Proficiency with computer applications, including Microsoft Excel, Word, Project, and Outlook

  • Bilingual a plus (English/Spanish)

  • Strong interpersonal communication and conflict resolution skills

  • The capacity to deal with others utilizing care and courtesy

  • Other competencies include problem solving to enable the development and execution of cost effective solutions to minimize/eliminate risk; creativity to enable the development of tools, resources, programs, processes and solutions; presentation skills to enable effective training and communication to all levels of the organization; written and oral communication skills to enable the development of multiple communication media (workbooks, presentations, reports, etc.); change management skills to drive and sustain improvement in a fast paced and ever-changing environment.
