The Financial Clinic Executive Coordinator in Brooklyn, New York
About the Position:
Reporting directly to the Founder and Chief Executive Officer (CEO), the Executive Coordinator provides executive support in a one-on-one working relationship. The Executive Coordinator serves as the primary point of contact for internal and external matters pertaining to the CEO. The Executive Coordinator also serves as a liaison to the board of directors and senior management teams; and organizes and coordinates executive outreach and external relations efforts, including communications regarding fundraising. The Executive Coordinator must be detail-oriented and enjoy working within a small staff of 30 that is mission- and results-driven.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Coordinator must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This is an excellent position for a career professional with an interest in fundraising and development.
Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence; arranging itineraries and agendas; and compiling documents and background materials for meetings;
Communicates directly, and on behalf of the CEO, with Board members, donors, Foundation staff, and others, on matters related to the Clinic’s initiatives;
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response;
Provides a bridge for smooth communication between the CEO and staff, especially senior staff and consultants;
Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately;
Practices good judgment to build relationships crucial to the success of the organization
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures;
Ability to track CEO’s communication with stakeholders in Salesforce platform;
Willingness to support ad hoc requests inevitable to a fast-growing nonprofit; and
Flexibility to adapt to changing job requirements as the company grows.
Executive Staff Liaison
Assist with administrative responsibilities to wider C-Level Team, including calendar management, conference room management, meeting agenda development, and org-wide communications
Assists in managing staff workflow and delegate tasks and projects to different departments when authorized by CEO and Executive Team
Facilitates cross-divisional coordination of travel and outreach plans, and assists in managing and coordinating multiple calendars among the Senior Staff and CEO.
Development, Communications & Partnerships Support
Edits and completes first drafts for written communications to external stakeholders;
Works with the Development team to coordinate the CEOs outreach activities;
Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships;
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company;
Ensures that the CEO’s bio is kept updated and responds to requests for materials regarding the CEO and the organization in general.
Bachelor's degree required;
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors;
Experience and interest in internal and external communications, partnership development, and fundraising;
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment;
Be adaptable and flexible to competing demands;
Proven ability to handle confidential information with discretion;
Highly resourceful team-player, with the ability to also be extremely effective independently;
Demonstrated proactive approaches to problem-solving with strong decision-making capability;
Expert level written and verbal communication skills; and
Proficient in Salesforce; Google Documents; Google Calendar; Microsoft Office; Adobe Acrobat; Asana (or comparable project management tools) and Social Media web platform
