The Brookdale Hospital & Medical Center OFFICE MANAGER in Brooklyn, New York

To ensure organizational effectiveness, and efficiency of the Employee Health Service (EHS) through oversight and management of daily administrative and operational functions. The function of EHS is to the wellbeing and safety of the staff. The office manager works collaboratively with the EHS Nurse Practitioner to ensure staff compliance with EHS requirements and overall staff wellness.

  • Manages the day to day operations of EHS, which include but are not limited to:

  • Record keeping.

  • Ordering supplies and maintaining adequate par level.

  • Responding to employee inquiries.

  • Ensuring that all documents are appropriately filed and maintained in their EHS file.

  • Coordinates and directs administrative support functions for the EHS department.

  • Functions as a liaison with Human Resources and provides timely updates as related to new hires, staff returning from leaves of absence and routine annual health assessments.

  • Understands, adheres to and instructs staff on HIPAA regulations and the additional confidentiality required in EHS.

  • Is knowledgeable of EHS regulatory requirements.

  • Follows-up with staff ensuring compliance with the EHS process.

  • Assumes a proactive role during the flu season ensuring:

  • All necessary supplies are ready for the season which begins in September.

  • Information is maintained in real time in the system.

  • Reports and follow-up are maintained and tracked.

  • Will reach out to department heads for collaborating in getting staff to comply.

  • Verifies receipt of supplies, maintains records of and notifies appropriate personnel as needed.

  • Responsible for the registration and processing of all new employees.

  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of employee records.

  • Ensures that all employees are compliant according to state regulatory standards and notifies employees due for Health Assessments and screenings.

  • Generates managers/directors reports notifying them of staff compliance, and follows up with non-compliant employees.

  • Maintains clinic schedule when changes occur and notify appropriate staff (Chief of Medicine) of coverage issues in the absence of the Director. All unresolved issues should be referred to the VP of Human Resources.

  • Interviews staff/office personnel/volunteers and provides ongoing training to staff and evaluation of the same.Prepares reports for Department Head as requested.

  • Records and tracks department information and data on computer and organizes department files.

  • Prepares reports for Department Head as requested.

  • Perform other duties as required.


  • Bachelor’s degree preferred.


  • Two or more years of general office experience.

Knowledge and Skills:

  • Proficiency a must with Microsoft Office to include Excel, and Word.

  • Good interpersonal skills a must.

  • Ability to communicate effectively in English, both verbally and in writing.

  • Excellent written, and verbal communication skills.

  • Organizational skills and ability to prioritize.

  • Ability to multi task.

Physical Requirements:

  • Involves standing, walking, sitting, lifting and talking.

  • May include some repetitive motions.

  • Perform other duties as required.
