The Arc Erie County is currently seeking an Associate Director of Educational Operations for our School Age program located in Cheektowaga, NY and our Preschool program located in Tonawanda, NY. Why Achieve with The Arc Erie County? Becoming our Associate Director of Education Operations means:

  • Assists the Principals in the preparation of reports and statistical analysis requested by funding sources.

  • Works with the Principals to plan for the future directions of the programs within the Education Department, including program review and proper student IEP goal achievement.

A Bachelor’s Degree in Business Administration or a related field plus seven years of project and program management and oversight is needed for this position. A Master’s Degree in Business Administration is preferred.

Position Summary:

Provides operational support in the management of the education program functions specifically in the areas of administrative tasks, electronic and paper records, electronic data systems, school lunch program, compliance, district liaison specifically for transportation and student documentation. Will report on the operations of the above school activities and assist in planning future directions for such programs.

Will be part of the Education Program Administrative Team working to provide high quality education programming for the students supported and will work directly with The Arc Education teachers, and staff, as well as community leaders, parents, regulators, and district personnel as directed.

Reporting Relationship:

Receives general supervision from the Principal at the Maryvale: School-Age Program, as well as the Principal at Green Acres: Preschool Program. Provides supervision to administrative associates, records, EHR, lunch, and compliance personnel with the education program.

Job Duties and Responsibilities:

  • Along with support from the Human Resources department, will be responsible for the hiring of staff necessary within the operational areas in the Educational Program. This may include the preparation of job requisitions and postings/advertisements, the preparation of interview questions/format, conducting interviews, and ensuring necessary paperwork for employment is completed in a timely and accurate manner

  • Assists the Principals in the preparation of reports requested by funding sources. Prepares statistical analysis and compilation, and/or written narratives for reports/projects as assigned

  • Assists in the necessary preparation for program review by funding sources (i.e., State Education Department, Office of Children and Family Services, counties)

  • Works closely with the education administrative staff to complete operation areas including, but not limited to the lunch program, record retention, EHR, compliance, and student transportation

  • Has positive interactions and relationships with various local school districts with regards to the students supported in the education program

  • Creates, utilizes, and trains other staff on a variety of policies and procedures with regards to the education operational areas

  • Works closely with other educational personnel in ensuring full compliance (including timelines) and proper implementation of each student’s IEP goals and objectives as outline in the IEP.

  • Ensures coverage for administrative areas within the educational program, including, but not limited to front office, clerical, and records

  • Prepares written drafts, memoranda, newsletters, etc., to facilitate communication with education staff, parents and community members

  • Researches and compiles information regarding new ideas for program development

  • Assists with the administrative procedures required in order for the educational program to run smoothly including the coordination of information for the start- up of the summer and school year sessions

  • Maintains and protects confidential or other sensitive information such as Protected Health Information (PHI) and Personally Identifiable Information (PII) as defined in the Agency’s Information Security Policy

  • All other duties as assigned

Qualifications and Education Requirements:

Master’s Degree in Business Administration, or a related field PLUS five years project/program management experience.

OR

Bachelor’s Degree in Business Administration or a related field PLUS seven years project/program management and oversight.

PLUS

Knowledge of educational programming, services and funding for individuals who are developmentally disabled is preferred. Proficient in Administrative functions to include MS Office Suite, billing, HER system lead and general accountability for the administrative needs at both schools.

Knowledge of administrative practices necessary to manage hiring and tracking of personnel and pertinent information, i.e. licensing, certifications, CEUs etc.

Ability to bend, stoop, squat, kneel, sit, reach, stand, walk, push, pull, climb flight of stairs, good physical strength and be able to lift/transfer a minimum of 50 lbs. unassisted and is able to assist in two-three person lifts as necessary; Must be able to perform physical tasks as outlined in education program’s Safe Student Movement manual; Must have the ability to see, hear, listen, speak clearly, good motor coordination; grip, strength, eye-hand coordination

  • Mental Requirements:

The ability to perform critical thinking and complex problem-solving skills, write in clear, organized manner, show good judgment, independent action, prioritizing, following directions. Must have good organizational skills. Works independently, as well as cooperatively, with others; Be approachable, enthusiastic and meet job-related tasks accordingly.

  • Human Relations Skills:

The ability to communicate with individuals in a positive manner, both oral and written. Serve as an appropriate role model to co-workers and program participants. Receives supervision instruction in a positive manner. Adhere to the Agency’s policies, procedures, rules and regulations. Maintains a professional attitude and appearance at all times.

  • Equipment Operation:

The ability to operate office equipment, such as computer, copier, fax machine, and laminator, etc.
