The Department of Civil, Structural & Environmental Engineering ( CSEE ) in the School of Engineering and Applied Sciences ( SEAS ) at the University at Buffalo seeks to fill a Program Support Specialist position. We are particularly looking for candidates who can operate effectively in a diverse community of faculty and students and share our vision of helping all constituents reach their full potential.
The primary purpose of this position is to provide department faculty with direct research and administrative support. A successful candidate will be expected to assume the following key accountabilities and responsibilities:
Provide project and fiscal management to the department and all active/prospective Principal Investigators (PIs).
Compressively manage research proposals from pre-submission, including budget preparations to post-award, including student appointments, management of funds, etc.
Provide support to faculty research initiatives and interface with Sponsored Programs and funding agencies as needed to meet deadlines and ensure the proper prioritization of tasks.
Provide administrative support for sponsored research and startup purchasing, as well as hiring and summer salary appointments.
Appoint and track research student appointments, including managing UB Jobs* postings for postdoc and research positions.
Process data to support faculty research and educational initiatives, including gathering reports from SIRI* and Research Foundation Report Center*.
Coordinate monthly financial reporting for faculty research and startup budgets.
- Support the department day to day operations, including managing office supplies, lab spending, and faculty personal development funds.
*Training, if needed, will be provided for university-proprietary systems, e.g., UB Jobs, SIRI , RF Report Center.
Civil, structural and environmental engineers contribute to the health, safety and quality of life of society through the design, construction and operation of public and private infrastructure. For 2021, our department was ranked 23rd among all public civil engineering graduate programs in the United States by other civil engineering department chairs, and we were rated 4th among engineering schools in the United States. We have 33 full-time faculty, over 850 students (undergraduate and graduate combined) and 59,688 square feet of teaching and research labs across two separated buildings.

Bachelor’s degree required with one year of finance, budgeting and/or business administration experience or project management.
The incumbent must be familiar with managing projects from start to end, and taking initiative to meet deadlines while balancing multiple projects and priorities. Excellent written and communication skills.
Excellent problem-solving skills.
Expertise in Microsoft Office Suite (Word, Excel, PowerPoint).
The ability to independently handle requests from faculty, students, staff and other School, University and Research Foundation entities is expected.
Master’s degree preferred.
Direct experience with post-award management and reporting preferred.
Human Resource (new appointment processing, payroll knowledge) is preferred.
Supervision experience is preferred.
