Brief Job Description
This is an internal job posting open to employees of Buffalo State College who are currently paid from any state-appropriated-funds payroll.
The Executive Assistant to the Dean provides assistance to the Office of the Dean, School of the Professions ( SOP ) in business and personnel aspects including reviewing, preparing and tracking faculty and professional personnel actions with respect to contracts and appointments for the departments within SOP , preparing and reconciling the budget, and providing support for projects and activities within the division.
Duties include managing faculty and professional personnel files as well as track promotions, sabbaticals, retirements, and graduate faculty status forms. Provide temp service budget reports as needed and faculty loading reports. Track and review the active searches in the college’s applicant tracking system and work with the SOP departments to coordinate the search process/faculty recruitment. Assist with travel arrangements and prepare all paperwork for the reimbursements of external evaluators, guest speakers, faculty candidates and those seeking Dean’s Office support, as well as process the travel paperwork for SOP faculty. Track and prepare tuition waivers for the student teachers in the Social Work department and serve as the point person for Events Management for the use of the TECH and CAUD lobbies regarding reservations for event requests.
Required Qualifications
Bachelor’s degree
Demonstrated experience in personnel and budget matters
Excellent communication skills, written and verbal
Proficient in Microsoft Office (Word, Excel and PowerPoint)
Proven organizational and planning skills
Preferred Qualifications
Experience with an applicant tracking system (i.e., PeopleAdmin)
Experience with Business Intelligence system
