Position Summary:

The University at Buffalo (UB), Office of the Graduate School (https://www.buffalo.edu/grad.html) , seeks to hire a Student and Academic Services Assistant. In this position you will provide broad-based administrative support to the Graduate School staff, and functional support to graduate program staff across the university who administer UB’s 360 graduate programs. Key partners include; Financial Aid, Student Accounts, Office of the Registrar, and International Student Services. In addition, you will communicate regularly with administrators in each of the 13 decanal units, serving UBs 100 graduate departments and their students. This position reports to the Assistant Director Student and Academic Services.

As the Student & Academic Services Assistant, you will:

  • Provide guidance to graduate program staff and faculty across the university to understand and interpret Graduate School policies and procedures, while providing them with useful queries, develop guides and trainings to support graduate student success and degree completion.

  • Collect and aggregate PhD alumni survey data, draft initial and follow up communications to constituents, and assist in the annual preparation of Graduate School reports.

  • Make periodic updates to UB’s new graduate program catalog as curricular changes are approved, and edits are needed.

  • Monitor Graduate School email account, providing accurate and timely responses to constituents.

  • Review and approve student petitions, update student records and tri-annually verify successful completion of all degree requirements for our graduate-level degree conferrals.

Minimum Qualifications:

  • Bachelor’s degree is required with professional work experience.

  • A combination of education and experience will be considered.

  • Strong verbal, written and interpersonal communication skills with the ability to communicate clearly and respectfully with diverse populations of university staff, faculty, and graduate students.

  • Proficiency with Microsoft Office suite, specifically: Outlook, Word, Excel, and PowerPoint.

  • Must be exceedingly well organized and detail oriented.

Preferred Qualifications:

  • Experience working with MS Access software.

  • Prior experience in areas pertaining to degree auditing and student records maintenance in a college or university setting.

  • Prior work experience at the University at Buffalo or other SUNY school.

  • Experience within a Graduate School, with understanding of the graduate division policies and processes.

  • Experience utilizing PeopleSoft Campus Solutions and /or UB’s HUB system.
