Scope of Position (i.e. projects involved with and role within group): Provide administrative support for Research Director, staff, and research department

Day to Day Responsibilities:

• Calendar management for Research Director and assist with other department calendars as needed

• Travel arrangements to include domestic/international, as well as processing visa/passports requests and working with CIBT

• P-Card and Purchase order requests for department

• Create expense reports for Research Director and department P-Card requests and submit

• Create Agenda for monthly staff and department meetings and review with Research Director • Maintain department space and work with Space Planning Coordinator

• Maintain/track capital requests for department

• Provide Etad maintenance for department

• Maintain email distribution lists for organization and department

• Work with HR for onboarding new employees and contractors

• Coordinate department summer and holiday events/activities

• Maintain SPITS updates for department

• Work with Customer Service, Facilities Trades and Events Team

• Monthly budget tracking

• Provide updates for department organization charts, phone lists, and department communications

• Assist logistics for Guest Speakers, Customer Visits

• Work effectively as an individual, as well as a team player

Travel requirements (please note if international):

• None Hours of work/work schedule/flextime: • 8-5 w/ flexibility

Education and Experience (minimum required for consideration):

• 5 years’ experience as Director level administrative aide

• ASS degree in business or equivalent work experience

• Handle confidential information and able to use sound judgement

• Detailed oriented; able to multitask and prioritize tasks

• MS Office (Outlook, Work, Excel, PowerPoint)

• Concur expense report processing
