Cornell Cooperative Extension Camp Clerk - Hamden, NY in Hamden, New York

This position will serve as an Assistant to the Registrar for 4-H Camp Shankitunk. 4-H Camp Shankitunk is a traditional summer camp located in Delhi, NY. 4-H Camp Shankitunk operates both a day camp program (ages 6-14) and an overnight program (ages 8-16) for youth in the summer and hires approximately 50-60 seasonal camp staff members. 4-H Camp Shankitunk is owned by Delaware County and operated by Cornell Cooperative Extension Delaware County.

The Office Assistant will assist with camper registration processes, including but not limited to responding to customer inquiries and requests; answering phone calls, emails, or written correspondence; assisting customers with the online registration process; following up to complete camper registration; managing waitlists; confirming registered sessions and providing additional information to families as needed. The Office Assistant works as a team member of the camp office staff and assists with the camp store and other assignments. This position, if available, may represent the organization at open houses, tabling events and community programs to promote the mission of the Cornell Cooperative Extension and 4-H Camp Shankitunk. This position will be required to work at the camp (Delhi) during the camp season (June – August). During the off season, the work location may be at the CCE of Delaware County main office (Hamden), if applicable.

Required Qualifications:

  • High School Diploma or equivalent education.

  • Ability to meet travel requirements associated with this position.

  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

  • Strong customer service skills and ability to multi-task.

  • Ability to work independently and meet deadlines.

  • Excellent organizational skills and attention to detail.

  • Proficiency with windows-based software including use of the internet and Microsoft Office Suite including Outlook, Word, PowerPoint, Publisher, Excel, and Access.

  • Ability to plan and organize personal work responsibilities according to priorities developed with immediate supervisor.

  • Ability to work with a high degree of integrity, sound professional judgment, and the ability to handle confidential and sensitive information.

  • Ability to follow oral and written instructions and assume responsibility with general guidelines and direction.

  • Ability to clearly communicate (speak, read, and write proficiently) in English.

Preferred Qualifications:

  • Experience as Administrative Assistant.

  • Knowledge of Cornell Cooperative Extension’s mission and programs.

  • Knowledge of 4-H’s mission and positive youth development programming.

  • Knowledge of or experience in youth camping.

  • Experience with a multi-line phone system.

    Position Responsibilities and Essential Functions

Administrative Management – 30%

  • Monitor the ongoing registration process to determine vacancies and closed sessions.

  • Manage waitlists to maximize camp enrollment.

  • Review and approve health forms.

Administrative Coordination/Operation – 65%

  • Serve as a frontline point of contact for parents and guardians who send their children to camp.

  • Maintain waitlists; inform families promptly when a vacancy appears.

  • Follow up with families to complete the registration process, including registration payments, required forms, and permissions.

  • Respond promptly and professionally to customer phone calls, emails, and written correspondence.

  • Be thoroughly familiar with and assist families with the online registration process.

  • Communicate with families to provide or obtain information as needed.

  • Provide general office support: answer phones; take messages; pick up/distribute mail; photocopying; collating; filing.

  • Assist with the administration of the camp store which may include but is not limited to: maintaining merchandise inventory levels, restocking from storage when supplies run low, processing camper/family purchases when the store is open, restocking the snack machine at least daily, submitting cash sales funds according to protocol in a timely fashion, and organizing and keeping the camp store clean.

Professional Improvement – 5%

  • In cooperation with Supervisor, jointly develop and pursue a professional development plan to increase competencies relative to position accountabilities and address changes and Association priorities.

  • Collaborate in activities that support Cornell Cooperative Extension and perform other duties as assigned.

  • Support the Association to maintain a safe working environment.

  • Be familiar with and follow applicable federal, state, and local regulations, Association health and safety policy/procedure/requirement, and standards.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.

    Position Details

This is a part-time, nonexempt, temporary position that will run from May 1st - August 30th. Compensation ranges from $16.00 - $20.00 per hour. Compensation is commensurate with experience, certifications, responsibilities, and availability.

The position will work at 4-H Camp Shankitunk in Delhi, NY. The standard work schedule is 20 hours per week Monday through Friday and will include Sunday camper check-in beginning June 30th - July 28th. There may be potential to work additional hours, if needed, and with prior approval. Meals may be available upon request. Age 21+ preferred. Background/experience in youth camping preferred.
