Colgate University Assistant Director for Housing Operations in Hamilton, New York

Position Information

Department Statement

The Assistant Director of Housing Operations at Colgate University provides oversight and leadership for housing selection/assignment processes in an environment where intellectual engagement is foundational in the residential experience.

Accountabilities

This position is a member of the leadership team in Residential Life and leads staff through housing and operational processes in an office where collaboration and a team approach to implementing these processes are essential.

In addition to oversight of housing operations, this position is a representative of the department to students and families who reach out for support and assistance with housing operations.

It is expected that this person will build individual and maintain strong and effective department relationships with colleagues in Facilities, Student Accounts, Summer Programs, Administrative Advising, Information Technology Services and other key partners around the University.

Responsibilities include:

● Implementation of clear housing operations processes in line with department and university goals including but not limited to assignments, opening, closing, room changes, and selection processes; ● Effective oversight and coordination of residence hall opening & closing processes on behalf of Residential Life, working closely with campus partners to prepare for and manage through housing transitions and off-term occupancies (Early Arrival, Late-Stay, Reunion, Summer Housing); ● Serve as primary administrator for housing software and department liaison to Symplicity Residence, Information Technology, and Student Accounts in order to receive applications, make assignments, assess charges, deliver individualized communications, manage data, and generate reports in housing software. Develops and implements on-going strategy and improvements for Symplicity Residence that align with the goals of the department; ● Responds to accessible accommodations requests, including working with the Office of Academic Support and Disability Services, Health Services, and Counseling and Psychological Services to identify appropriate placements for students’ housing needs; ● Thoroughly train professional and paraprofessional Residence Life staff about partnership and shared responsibilities with facilities staff, and housing operations, processes; ● Effective coordination of a room & building master key inventory and organized tracking of key check-in/check out, and associated billing processes; ● Effective coordination of and training for semesterly damage billing process in support of fostering a community where accountability and responsible community membership are highly valued; ● Maintain student room, common area, and stored furniture inventory for effective asset management throughout the year, and to be used for annual furniture purchases; ● Assist with annual replacement and long-range furniture planning related to residential furniture in partnership with Director and Facilities Department; ● Assist with development and release of communications and educational materials about department processes and housing selection including maintenance of housing selection information on department website; ● Assist with development and administration of the Office of Residential Life housing policies and procedures and assist in the communication and dissemination of information to staff and students; ● Coordinate schedules of student office staff, and recruits, selects, trains, and supervises student office employees; ● Promote and coordinate Commencement Housing for families of graduating Colgate students; ● Provide oversight for small number of student storage areas on campus, establishing consistent guidelines and support for departments using these storage areas; ● Serve as a member of the Residential Life leadership team, training and preparing members of the live-in professional staff to perform operational functions such as room changes, room inventories, damage reporting; role model effective communication with members of our diverse community; ● Serve on various campus-wide committees as appropriate; ● And other projects and duties as assigned.

This position may require occasional evening and/or weekend hours.

Requirements

Professional Experience/ Qualifications

Ideal candidates will have well-developed interpersonal skills, a talent for empathic listening, experience with online housing software, strong organizational skills, and an aptitude in detail orientation.

Experience in a residential liberal arts setting, knowledge of student development theory and/or counseling is preferred. As a residential community where inclusive excellence is valued, the successful candidate will be enthusiastic about engaging with the diverse students, staff, and faculty with whom the Residential Life team partners.

Education

A master’s degree in higher education, student personnel, counseling, or a related field and previous residential life experience is preferred.
