Boss Facility Services Inc. Client Relationship Manager in Hauppauge, New York

Office Administration at BOSS Facility Services functions as the first point of contact for customers, visitors and staff. They operate as a general hub for all internal information and external happenings for the company. As the needs of the company and our staff continue to grow, BOSS is looking to hire an Office Manager to work alongside our Office Coordinator as part of the Finance Department. Our ideal candidate is an incredible multi tasker capable of working in a fast-paced environment but still maintain impeccable attention to detail with a welcoming and friendly demeanor. General clerical duties are a requirement for this role so you must be familiar using various Microsoft applications. This is a full time in person position, with a Monday thru Friday working schedule from 8:00am to 5:00pm. Responsibilities include but are not limited to: Coordinating and overseeing the administrative duties of the office and ensuring that the office operates efficiently and smoothly. Managing office supplies inventory and placing orders as needed. Assisting department heads and IT with office layout and moves as needed. Designing, implementing and maintaining office management policies and procedures. Coordinating all general building system maintenance contracts and repairs and required system inspections. Overseeing day to day office activities in reception area, and keeping upper management informed regularly of any issues. Managing front desk associate/office assistant personnel. Providing direct administrative support to Executive Team as needed, including scheduling appointments, maintaining calendars, scheduling company events, booking travel, coordinating food deliveries, and generating reports as requested. Overseeing and maintaining office equipment and associated contracts. Managing relationship between BOSS and building tenants. Ensuring security, integrity and confidentiality of data. Required skills and qualifications: Bachelors degree in Business Administration, Communications, or related field preferred. Five or more years of experience in office management. Strong organizational and time management skills and ability to prioritize. Must have strong computer skills and be proficient with Office 365 (Teams, Word, Excel, Outlook, and PowerPoint). Strong problem solving skills and analytical abilities. Physical Requirements: Light lifting 20-30 lbs.
