Boss Facility Services Inc. Junior Project Coordinator in Hauppauge, New York

BOSS Facility Services is hiring for a Junior Project Coordinator position in the Special Projects department. This individual must have a can-do attitude and be able to follow direction with a sense of urgency. Having the foresight to anticipate the needs of the department coupled with an impeccable attention to detail and incredible multi-tasking skills will get you far in this role. Strong communication skills (verbal, written and listening), a high level of organization and prioritization, as well as the ability to learn quickly in a fast-paced service environment are other desirable qualities for this position. We want to hear from individuals who are career oriented and possess a growth mindset. The Project Coordinator Support role is a full-time, entry level position. It requires you to be in the office Monday - Friday from 7:30 am 4:30pm. Some overtime, including weekends, may be required. Duties will include, but are not limited to: Jr Project coordinator to assist with laying out and executing the scope, goals and deliverables with the contractor, that are set forth by the project coordinator with the client for minor, less entailed projects including but not limited to multi-store rollouts / store closings / trash hauling. Manage day-to-day scheduling aspects with contractors and updating the client, with guidance from Project Coordinator / Supervisor. Work with Project Coordinator / Supervisor to create and execute project work plans and quotes. Recruit / Source contractors for the project coordinator, includes but not limited to going over insurance requirements, terms, rates, areas of coverage, trades serviced, etc. Obtaining existing contractors most up to date insurance certificates / W9 if necessary. Obtaining / filling out after hours forms for mall entry as well as obtaining COI from the contractor to match the malls requirements for the Project coordinator, as well as submitting to the mall and confirming acceptance / approval. For work orders that are scheduled after hours, your responsibility would entail: Make the team project coordinator aware. Confirm the contractor is onsite at the time of scheduling & advise the client of the check in. Confirm when the technician is checking out from site, request photos and let the client know that the crew is checking out. In instances where there is an escalation, you would advise your team project coordinator for assistance. Monitors and reports on the progress of the project to the project coordinator / supervisor. If needed, ensure project documents are complete, current and stored appropriately Includes but not limited to: quotes, billing paperwork, assessment / progress / completion photos, renderings, mall required documents, spec, etc. Carry out daily operational tasks in an effective and timely manner as a support to the Projects department & other teams when work is slow. This position warrants a friendly, outgoing, positive, and professional manner. Training is provided on our in-house software, but we do require experience with Microsoft Office 365.
