The 4-H Program Coordinator coordinates programs, meetings, fundraisers, fairs, and events with emphasis on 4-H club activities. This position also performs general administrative support responsibilities.

The Coordinator works as part of a flexible team - recruiting and reaching diverse audiences, performing existing or new responsibilities which can change based on Association needs, new partnerships, grant initiatives, etc.

Required Qualifications

  • Associate degree. High School Diploma or GED and 1 year of transferrable program/functional experience may substitute for an associate’s degree.

  • Experience relevant to the role of the position.

  • Commitment to helping ensure diverse, equitable, and inclusive programs.

  • Ability to meet the regular travel requirements associated with this position. A valid NYS driver's license with the ability to drive and driving record acceptable for Association insurance coverage are required.

  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

  • Ability to coordinate and deliver assigned programs.

  • Ability to learn and effectively use software including use of the internet, virtual meetings, program related software, and Microsoft Office Suite.

In addition, the position regularly lifts, moves, or transports program related materials and equipment. The position works in outdoor weather conditions including extreme heat, precipitation and cold – especially during fair and summer season.

    Position Responsibilities & Essential Functions

Program Responsibilities:

Program Delivery – 5%

  • Deliver or assist with existing programs as assigned.

  • Serve as a subject matter resource, provide standard responses.

  • Interact with program participants.

  • Represent CCE before the public, community leaders, government officials, Cornell, or other land grant universities as part of program delivery.

  • Serve as 4-H youth chaperone on trips and events.

Administrative Responsibilities:

Direction – 5%

  • Assist supervisor in planning programs, meetings, fundraisers, fairs, and events, and communication strategies.

Management – 5%

  • Assist with volunteer recruitment and perform volunteer management procedures.

  • Provide guidance to volunteers.

  • Assist in solving problems and resolving conflicts.

Coordination/Operation – 80%

  • Coordinate assigned programs, meetings, fundraisers, fairs, and events.

  • Coordinate all aspects of 4-H enrollment and data.

  • Maintain calendar of events.

  • Answer phones, greet visitors, complete mailings, answer questions, etc.

  • Make copies, handle faxes.

  • Organize and maintain supplies.

  • Draft standard communications and assist with websites and social media.

  • Maintain files and assist with records management.

  • Assist staff with program and administrative needs.

  • Perform financial duties - record cash receipts, make bank deposits, prepare expense reports, prepare vouchers. Assist with budgets.

  • Attend meetings as needed; take notes.

  • Assist with recruitment of program participants.

  • Assist with special projects and outreach efforts as needed.

  • Submit required documentation and reports in a timely manner.

Professional Improvement – 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety – Applied to all duties and functions

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
