Cornell Cooperative Extension CCE of Columbia & Greene Counties Facilities Coordinator – Hudson, NY in Hudson, New York

The Facilities Coordinator is primarily responsible for maintaining the Association offices and properties and assists with Association vehicle maintenance. The Coordinator also helps to ensure the safety of staff, volunteers, participants, and the public. The Coordinator interacts with staff, volunteers, and the public in a cooperative manner at all times. The Coordinator also performs facility cleaning tasks.

This position is primarily located in the Association’s Hudson, NY office, and typically reports to the Association’s Acra, NY office two days/week or as requested.

Required Qualifications

  • High School diploma/GED plus one-year transferrable program/functional experience. Associate’s degree plus experience relevant to the role of the position may substitute for a High School Diploma/GED plus one-year transferrable functional experience.

  • Ability to help ensure diverse, equitable, and inclusive environments.

  • Knowledge of maintenance and repair methods, materials, and techniques applicable to public buildings. Demonstrated ability to perform maintenance and repair work.

  • Ability to meet regular travel requirements associated with this position. A valid NYS driver's license with the ability to drive and driving record acceptable for agency insurance coverage are required.

  • Ability to work flexible hours which may include early mornings, evenings and/or weekends, as appropriate. Arrive to work ahead of regular building opening hours to plow and clear snow and ice from parking areas and driveways, sidewalks and building entrances.

This position frequently operates maintenance equipment including but not limited to riding and other lawn mowers, snow blowers and plows, and other maintenance tools and equipment. This position frequently works in outdoor weather conditions including extreme heat, precipitation and cold. This position frequently lifts, moves, or transports supplies and equipment. This position frequently requires positions self (e.g., pulling, bending, reaching, touching, kneeling, using hands to feel/reach, climbing stairs and ladders). This position is regularly exposed to work near moving and/ vibrating mechanical parts. The noise level in the work environment is typically moderate and occasionally very loud, especially when using equipment like lawnmowers, leaf blowers, snow blowers, etc.

  • Communication skills: Ability to read English and interpret documents such instructions, safety and procedure manuals. Ability to write routine correspondence. Ability to speak effectively with employees and others. Ability to follow oral and written instructions and assume responsibility with general guidelines and direction.

  • Technology Skills: Basic computer skills. Ability to learn and use MS Outlook electronic calendar functions, compose emails, use internet-based software.

    Position Responsibilities & Essential Functions

Management – 10%

  • Assist in overall facilities management under the guidance of the supervisor. Quickly identify and report to the supervisor any facility issues or problems that arise. Offer solutions to help ensure Association facility needs are met.

  • Serve as the contact for buildings and grounds issues and emergencies outside typical office hours.

  • Update and maintain written plans and records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher inspections, heating system annual maintenance, and winterization of buildings and equipment.

  • Assist with guiding and managing building and equipment maintenance schedules.

  • Under the guidance of the Association Administrator, assist with aligning resources to identity contractors and outside vendors for identified needs.

  • May attend Facilities Committee meetings as required.

Coordination/Operation – 85%

  • Frequently set up and break down meeting rooms (tables, chairs, cleaning, etc.) based on MS Outlook room booking calendars as requested. Work cooperatively with supervisor and staff to ensure the buildings and grounds are prepared for educational programming and events. Arrange for buildings to be opened and closed as per rental/storage needs and schedule. Check facilities after use by renters and report any damage to the supervisors.

  • Frequently perform seasonal maintenance tasks including mowing, trimming, weed whacking, snow and ice removal/plowing from Association properties.

  • Perform minor/general maintenance and repairs such as minor plumbing, electrical, carpentry, roofing, flooring, and painting. Alert supervisor of any major problems or repairs needed.

  • Maintain tools, equipment, supplies, and storage rooms and sheds.

  • Work with supervisor on ordering, picking up, and delivering supplies and equipment. Also transport orders to CCE’s Taste NY Market located at the Capital District Welcome Center in New Baltimore.

  • Assist with maintaining safe and reliable Association vehicles by scheduling routine maintenance and inspections as required including oil change, antifreeze, etc. Clean vehicles as needed.

  • Safely operate all vehicles and other job-related equipment.

  • Weekly cleaning of the Hudson facility and monthly in Acra. Ensure restrooms, lounges and meeting rooms are adequately stocked with paper products (paper towels, toilet paper), soap, etc. as needed. Check/empty recycling bins as needed.

Professional Improvement – 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety – Applied to all duties and functions

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
