Position Summary:
The Facilities Services Director will plan, organize and manage the physical operations of all EF facilities, providing a safe, efficient, clean and comfortable work environment consistent with EILEEN FISHER's sustainability objectives. This position will oversee day-to-day facilities operations and manage construction and capital projects as needed at the Company’s headquarters, distribution center, and retail stores, maintaining the highest-quality standards. The Director will further lead the development of policies, plans, standards, and objectives to lead environmental compliance and sustainability efforts and partner closely with the Store Planning team to facilitate projects to uphold our brand image.
Summary of Duties and Responsibilities:
Lead, mentor and develop Facilities team members to support the daily needs of our Company’s headquarters, distribution center, and retail stores. Provide direction in prioritizing work in partnership with the Sr Director to align with our business and sustainability goals, ensuring safe, clean and aesthetically pleasing environments.
Lead the Facilities Team and outside service providers in the management/maintenance of all EF facilities in the specialties of plumbing, carpentry, painting, plastering, mechanical, HVAC, electrical, cleaning and preventative maintenance. Act as subject matter expert to troubleshoot specific technical issues with outside contractors as needed.
Develop and implement strategic goals and objectives, including programs, schedules, and procedures related to preventative maintenance, safety and sustainability
Direct operation of the Irvington mail room and interoffice logistics, including deliveries among EILEEN FISHER facilities and service providers. Ensure the use of timely solutions within budgetary guidelines.
Lead the Facilities Team to research, source and negotiate services and equipment to achieve the best price and SLA’s for the company. Ensure that the Team is effectively monitoring, measuring and coordinating day-to-day vendor activities to ensure timely and high quality service.
Prepare technical program specifications, requirements and requests for proposal for new and existing contractors/vendors for all EF required services - preventive maintenance, utilities, pest control, HVAC, waste hauling, recycling and other facilities contracts. Evaluate vendors, negotiate pricing and contracts.
Lead and administer the Facilities Workplace Safety Program. Partner with Cross Functional Leaders to develop, document and enforce location safety, crisis response, and compliance standards for CT-PAT, OSHA and local and federal government agencies. Review all accident reports, prepare OSHA/State documentation as req’d. Implement corrective action to prevent reoccurrence.
Lead and administer Facilities Sustainability programs which include waste management, recycling, energy usage and procurement, water regulatory programs and other sustainability initiatives for all EF locations. Provide technical expertise, guidance, and leadership to develop goals, strategies, policies, programs and standards to reach company sustainability targets.
Partner with Social Consciousness team to provide documentation and data as needed for certifications such as B-Corp, Higg Index or similar in support of company initiatives and sustainability goals.
Act as main point of contact/coordinator for emergencies and off-hour openings/closings including extreme weather or loss of heat, A/C, power, water, etc.
Liaise with EF landlords (Retail and Corporate) on building maintenance matters through to final resolution.
Achieve financial objectives by way of preparing annual capital and operating R&M budgets, scheduling expenditures, analyzing variances and initiating corrective measures. Oversee ongoing budgetary expenditures and approval of invoices for payment. Partner with Sr Director in the creation of annual CapEx budgets.
Implement and administer a Facilities Work Order System serving all EF locations. Share the responsibility of monitoring requests/responses with Facilities Administrator.
Partner in the preparation of insurance claims for the damage of physical property damage or loss. Liaise with Controller, General Counsel and Sr. Director of Real Estate & Brand Environment in the pursuit of efficient claims processing and closeout.
Provide project management for the Distribution Center, Irvington Office and Stores as needed. Includes schedules, budgets, bidding and contractor oversight of assigned construction/ maintenance projects.
Continually evaluate the effectiveness of EF Facilities Mgmt programs (current and future) to identify improvement opportunities, including training for retail and corporate teams
Performs other related duties and assignments as requried.
Required SkillsRequired Experience
Education:
Bachelor’s Degree preferred, LEED Accreditation is a Plus
Required Skills &Experience:
10+ years required experience in facilities management and maintenance, preferably with exposure to office and retail environments. 5 years of experience in a management level position is required.
Strong leadership and change management ability - excellent communication and negotiation skills, ability to motivate, support and develop people, along with strong project scheduling and management skills.
Exceptional project management skills and the ability to work in a fast-paced atmosphere
A strong passion for sustainability initiatives, green projects and an interest in continual education and advancement in this area related to Facilities Management. Prior experience with implementing sustainability projects in a commercial or retail setting, considered a plus, including managing renewable energy projects/community wind/solar, geothermal conversions, power purchase agreements, large scale recycling programs.
Familiar with standard concepts, practices and procedures within the maintenance field including knowledge of electrical, mechanical, plumbing and general construction.
Candidate must be highly organized, flexible and creative, a self-starter who is committed to a high quality of work and professionalism.
Proficiency in AutoCAD a plus.
Work location: On-site in Irvington, NY with 1 day/week in Secaucus, NJ
Pay range: $130K - 160K depending on experience
