Administrative & Events Coordinator (Onsite) About the Society for the Humanities The Society for the Humanities is located in the historic Andrew Dickson White House, the home of the first President of Cornell. In addition to housing the offices and function spaces for the Society for the Humanities, Rural Humanities, the Humanities Scholars Program, and the School of Criticism and Theory (summer), the A.D. White House functions as a venue for numerous academic workshops and conferences, receptions, luncheons, dinners, and social occasions such as weddings. The venue is used by Cornell academic departments, central administration including the President's Office, and occasionally student groups and the greater Ithaca community. There are an average of 3-4 events per week during the academic year. This position offers the opportunity to gain both administrative and event coordination skills while overseeing the maintenance of an important historic home. Working independently as the first point of contact, the Administrative/Events Coordinator serves as the public face of the A.D. White House as well as the Society for the Humanities, Rural Humanities and the Humanities Scholars Program. One of the primary functions of this job is to manage the venue, which includes providing information to clients, making reservations, billing and account management (under the direction of the Program Manager), providing event set-up, liaising with vendors, and overseeing a casual employee and/or team of student employees to staff the venue outside of business hours. What We Need The Administrative/Events Coordinator provides event coordination and administrative support to the Society for the Humanities program. A primary role is to maintain the complex calendar of all events and classes in the building and prevent scheduling conflicts. Event coordination duties also include arranging and tracking event details like catering, creating print and electronic event publicity (posters, pre-writes, social media posts), arranging photo and/or video documentation, and maintaining websites and social media platforms. As a resource for the humanities at Cornell, the Administrative/Events Coordinator produces a weekly events e-digest and administers the humanities calendar on the Society's website. General administrative support is also provided, such as ordering supplies, answering phones, coordinating mailings, and other projects as assigned. The Administrative/Events Coordinator is also the building coordinator for the A.D. White House and is responsible for entering and tracking building maintenance requests and interfacing with Facilities and Campus Services for repair and renovation projects. Job responsibilities in this area also include providing A/V equipment assistance and maintenance, maintaining the key log and card access. Required Qualifications Associate degree and two (2) to four (4) years of experience or equivalent combination of education and experience. Strong organizational, communication, and administrative skills, as well as a keen attention to detail. Work independently, be self-motivated, and have a proactive approach to problem solving as well as be willing to collaborate on big-picture projects with Society staff and director. Comfort with classroom A/V technology. Knowledge of online social media platforms, basic professional writing skills, and experience in basic graphic design (or eagnerness to learn). Multi-task and prioritize workload in a busy public environment. Proficiency in the use of Word, Outlook calendaring, and Zoom. Interface with many people throughout the day.
