The OpportunityThe School of Continuing Education is seeking a Senior Administrative Assistant who will provide complex, multi-functional, and high-volume transactional support for summer session and winter session course/class, human resources (HR), registrar, accounting, and administrative operations. In this role, you will have the opportunity to:- Appoint hundreds of summer session, winter session, and academic year faculty, teaching assistants (TA) and short- term staff, and enter accurate and compliant information in Workday, PeopleSoft, and the SCE Student System (Student Production).- Evaluate existing and new Workday functionality and updates, to recommend and make improvements to existing practices and processes.- Perform I-9 verifications and prepare salary transfer e-docs related to instructor appointments.- Establish and maintain communications with all levels of staff, faculty and department and central contacts.- Manage on-campus classroom assignments, reconcile class attributes, identify variances, and take corrective action in Course Class Interface (CCI) and Student Production.- Enter student financial aid for select programs.- Respond to routine and non-routine telephone, mail, email and in-person inquiries providing full range of information about Summer and Winter Sessions offerings and short-term hires while maintaining a professional and courteous demeanor.- Provide backup frontline support for the accounting and registrar front office, including responding to phone queries, assisting with enrollment and payment related questions. Understand data housed in the student information and human resources systems and comply with associated institutional policies and state and federal laws governing student and human resource data.- Assist with data analytics, reporting, and lean process projects.This is a full-time endowed position that is based in Ithaca, NY. This position follows a 3:2 campus-to home hybrid work schedule. Typical work hours are 8am-4:30pm Monday through Friday, but this is flexible to promote work-to-life balance. Additionally, you will:- Hold an Associate's degree, two to four years relevant experience, or equivalent.- Be detail oriented and possess strong organizational skills.- Have proven experience in supporting customers and programs within a team based, fast paced environment.- Display excellent customer service skills, aptitude to multi-task effectively and efficiently, and strong written and verbal skills are essential.- Have a commitment to self-development and continuous process improvement is essential.- Be proficient in MS Word, MS Excel, database, query tools, and other spreadsheet applications.- Utilize excellent analytical, reasoning, and problem-solving skills and have an affinity toward and with technology.- Demonstrate commitment to supporting diversity, equity, access, inclusion, and wellbeing.- Have experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.- Incorporate the perspectives of multiple communities, including communities of color.- To serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds.- Have the aptitude to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.If you possess these experiences and skills this may be the role for you!
