Siena College Administrative Assistant to the Library Director in Loudonville, New York

The Administrative Assistant to the Director provides essential administrative support for Standish Library. This position plays a crucial role in ensuring smooth daily operations, facilitating communication, and managing various administrative tasks to enhance the efficiency of the library's leadership. The successful candidate will have excellent organizational and communication skills, attention to detail, and the ability to handle a diverse range of responsibilities.

  • Administrative Support:

  • Provide comprehensive administrative support, including managing calendars, scheduling meetings, and handling correspondence.

  • Coordinate and organize internal and external meetings, conferences, and events.

  • Manages space reservations and facilities requests.

  • Communication:

  • Serve as a primary point of contact for inquiries directed to the Director, both internal and external.

  • Draft and edit correspondence, reports, and presentations.

  • Record Keeping and Documentation:

  • Maintain accurate and up-to-date records, files, and documents.

  • Assist in preparing and reviewing reports, proposals, and other written materials.

  • Budget Management:

  • Assist in monitoring and managing the budget, including tracking expenses and processing financial transactions.

  • Prepare and submit expense reports in a timely manner.

  • Manage expenditures and reports for the library.

  • Coordination with Library Staff:

  • Facilitate communication and coordination between various library departments.

  • Collaborate with other administrative staff to ensure seamless operations.

  • Special Projects:

  • Take the lead on specific projects as assigned by the Director.

  • Conduct research, gather data, and prepare reports as needed.

Salary: $21.41/hour

Job Requirements:

  • Bachelor's degree or equivalent relevant experience.

  • Experience in providing administrative support.

  • Excellent organizational and time-management skills.

  • Strong written and verbal communication skills.

  • Proficient in Microsoft Office Suite and other relevant software applications.

  • Ability to handle sensitive and confidential information with discretion.

A background screening will be required.
