Fashion Institute of Technology Administrative Assistant in the Enrollment Management and Student Success Office in New York, New York

The Fashion Institute of Technology (FIT), an internationally renowned college of art and design, business and technology, of the State University of New York, invites nominations and applications for a full-time staff position serving as an Administrative Assistant in the Enrollment Management and Student Success Office.

JOB DESCRIPTION:

The EMSS office serves as a busy and high volume central hub for the operations and management of 11 student service oriented departments. The office houses the Vice President, Associate Vice President and Dean of Students, and the Assistant Dean of Community Standards and Student Wellness. The Administrative Assistant will provide student-centered assistance and support as well as excellent customer-service in responding to student inquiries and other requests by the college community, providing timely follow up, trouble-shooting and problem-solving.

Reporting to the Senior Operations Manager, the Administrative Assistant is part of the front office staff responsible for providing administrative support and managing appointments and walk-in guests that include students, parents, faculty, deans, and other visitors to the college. The position requires a comprehensive knowledge of the services offered through the EMSS Division and the college in general.

Given the critical role of the EMSS team, the level of responsibility managing the needs of our constituents requires a level of professionalism, integrity, and technical savvy. Strong communication skills are a necessity for managing the office's ongoing challenges. In addition to normal business processes, this position handles highly sensitive and confidential information related to students, personnel, and budget. It is also typical for the Administrative Assistant to be given projects that support either enrollment management or student success.

Provides administrative and project-related support for the team in the EMSS Office

Responds efficiently to calls and emails from students, colleagues, and external vendors

Manages incoming and outgoing correspondence from students

Serves as a resource referral for individuals seeking assistance on college-related matters.

Tracks and maintains a variety of information for document preparation, reports, analysis, appointments, budgets, and special projects.

Coordinates meetings, special events, and receptions hosted by the EMSS Division

Prepares and distributes meeting agendas, minutes, action items, and requisite follow-up

Interacts with students, parents, faculty and staff to resolve student-related issues and concerns

Collects data from college departments and/or external contacts, analyzes information, and compiles complex reports.

Assists with special projects and other duties as assigned.

REQUIREMENTS:

Education and Experience

Associates degree required; Bachelor's degree preferred

3 years of related experience required

Prior experience working in higher education is preferred

Knowledge, Skills and Abilities

Candidates must be able to work independently and as part of a team. The ideal candidate possesses strong interpersonal skills, both verbal and written, and proficiency in word processing, spreadsheet, and presentation software in addition to database management. The successful incumbent has experience handling confidential matters and multiple projects simultaneously often under tight deadlines.

ADDITIONAL INFORMATION:

Days/Hours: Monday through Friday/ 9:00 a.m. - 5:00 p.m. (35 hours per week). Work schedule subject to change based on the needs of the Department.
