To provide administrative support primarily to the VP/GM North America at Tom Ford Beauty. This individual would possess the ability to build collaborative relationships and proactively seek ways to improve organizational efficiencies. This person must be able to maintain confidentiality, work independently and demonstrate good judgement. Must be comfortable working with a wide range of stakeholders in a fast-moving business environment. Must be able to partner with other cross-functional Administrative Assistants to effectively manage, organize and prioritize a broad range of business activities. Support the execution of retailer and sales meetings and provide support for department initiatives as needed.


Administrative Responsibilities:

  • Manage calendar for VP/GM North America Tom Ford Beauty and help them stay on track during the day

  • Monitor important emails and screen calls; take action as necessary

  • Coordinate busy travel schedule for VP’s store tours and retailer meetings

  • Facilitate the approval and distribution of new door construction

  • Maintain product closet inventory as well as departmental office supplies

  • Plan department’s monthly business meetings and birthdays

  • Plan and execute the holiday field incentive and counter recognition programs

  • Organize regular team meetings, 1:1s with Direct Reports, and staff meetings including but not limited to coordinating meeting rooms, meeting materials, catering, etc.

  • Maintain weekly/business updates in seasonal shared driver folder

  • Prepare/edit power points/documents when/as needed

  • Handle additional responsibilities as required

  • Prepare and process expense reports on behalf of the VP

  • Manage the meeting card for the department (includes expense reporting)

Ad-Hoc projects to support GM/Leadership Team and TFB business

Event Planning:

  • Provide the necessary administrative support to ensure effective and efficient meetings: prepare meeting agendas and issue meeting minutes when required, gather and organize meeting materials in advance, reserve conference rooms and work with Office Services for room setups, audio-visual needs, security, transportation of materials, catering, etc.

  • Facilitate retailer meetings in both Fall and Spring (includes booking conference rooms, ordering catering, setup and clean-up)

  • Assist with any other department or field meetings


  • Position requires 1-3 years experience in an administrative environment

  • College or university degree required

  • Advanced proficiency in Microsoft Word, Excel and Outlook

  • Excellent Powerpoint skills required

  • Excellent organization, multi-tasking, communication and writing skills

  • Ability to handle a fast-paced environment, work well under pressure, problem-solve and seek excellence in execution
