The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Dean, the Assistant Director plays an integral role in the Center for Undergraduate Global Engagement (UGE) acting as a key point of contact for student advising, developing, implementing and administering student study-abroad programming and learning opportunities. The incumbent manages a portfolio of Columbia-led summer and semester programs. The Assistant Director advises interested students around global engagement opportunities, including leading pre-departure orientation before the study abroad experience and re-entry orientation for study-abroad returnees. The Assistant Director is responsible for administrative items in connection with student programming, including database and website management, budget creation and reconciliation and development of program materials.

Responsibilities

Advising and Program Management:

  • Advise interested students around global engagement opportunities to determine the program best suited to their academic, professional/personal needs and counsel them through the application/admission/departure process.
  • Lead pre-departure orientation on preparing for and adapting to the overseas experiences. Implement distance learning tools using guided reflection to enhance cross-cultural learning and cultural integration into the host country. Develop re-entry materials to facilitate student re-integration into the US and Columbia.
  • Conduct re-entry orientation for all Columbia undergraduate study abroad returnees, including students from Columbia College (CC), General Studies (GS) and School of Engineering and Applied Science (SEAS), to provide information about housing, registration/credit transfer and provide a supportive forum to discuss global experiences.

Manage a portfolio of Columbia-led summer and semester programs which entails:

  • Coordinate with relevant faculty and resident directors, graduate program coordinators, overseas staff, consortium/visiting schools, and host institution representatives to provide optimal global learning experiences for Columbia and external students.
  • Manage all aspects of assigned programs including but not limited to marketing programs, recruiting students, updating program budgets, developing partner agreements, and coordinating with registration/billing coordinator and UTRC coordinator.
  • Develop and manage timeline for admissions and pre-departure process and programming, in consultation with program staff/partners/Columbia units.
  • Evaluate and recommend applicants for admission to Columbia programs, including reading and evaluating applications and preparing dossiers for faculty review.
  • Create and update program materials such as web page and acceptance materials, including a student handbook.
  • Organize information sessions and do targeted outreach throughout the year to promote Columbia global engagement opportunities for internal and external audiences, including attending student fairs on campus and at partner schools.
  • Work with relevant internal and external stakeholders to resolve student issues during all phases of program participation, including pre-departure, while abroad, and upon return.
  • Participate in the support and response to health, safety, and risk management issues that may arise with individual students or that may affect a program.
  • Support faculty and program directors to prepare for their time abroad.
  • Continually evaluate programs to assure top quality opportunities that meet enrollment and financial targets.
  • Travel to Columbia program sites and partner programs to cultivate working relationships, enhance student advising, assess current programming, and facilitate future programming opportunities.

Administration:

  • Refine study abroad process for students interested in participating in UGE programs.
  • Create/maintain study abroad materials for CC, GS and SEAS students in collaboration with GS and SEAS study abroad advisors. Maintain study abroad website, by updating on-line applications and brochure pages for approved non-Columbia programs.
  • Develop budgets for students attending non-Columbia programs for financial aid packages. Ensure all study abroad tuition bills for non-Columbia approved programs are received and paid in conjunction with the Budget Manager.
  • Maintain study abroad database of Columbia students. Communicate changes to registrar, financial aid, housing, Columbia Health and the Center for Student Advising to ensure correct registration and billing for study abroad students.

Program Development:

  • Contribute to the planning and development of existing and new programs. Provide expertise from the community of practice to faculty and program directors in the program development process.
  • Review student evaluations and make recommendations that enhance the program experience to faculty directors, onsite staff, and other stakeholders.

Perform other related duties as assigned.

Minimum Qualifications

  • Bachelor's degree required and/or its equivalent required.

  • At least 3 years of related experience required, including some advising of students and program development and management (or equivalent combination of education and experience).

  • Excellent communication and presentation skills; demonstrated administrative and organizational skills; working knowledge of Google suite and Microsoft applications required.

  • Possess the capacity to learn relevant administrative applications such as Studio Abroad, Qualtrics, and Canvas.

  • Ability to work with minimal day-to-day supervision and as part of a team.

  • Must demonstrate good independent judgment.

Preferred Qualifications

  • Master degree preferred.
  • Familiarity with liberal arts college curricula and ability to work with faculty desirable.
  • Strong preference for experience working with college students in one or more of the following areas: study abroad advising or program development and administration, academic advising, and/or supportive academic programs.
  • Knowledge of another language, database, and publishing software such as InDesign preferred.
