L'Oreal USA S/D, Inc. Assistant Manager, Allocations - Sales in New York, New York

Section 2: Job Summary
The Assistant Manager of Allocations will be responsible for the execution of the order form process and allocations for one or more brands in the Luxe Division.
The Assistant Manager's main responsibility is to work with the Marketing, Demand Planning, Sales Planning and various groups within Supply Chain on all launch, promotional products, and non-salable to ensure that each program is allocated by retailer.

The Assistant Manager will work with Marketing, Demand Planning, Sales Planning and various groups within Supply Chain.
Order Form

Compile and execute all Launch and Basic order forms via an order form process which includes transition from launch to basic, product updates to adds & deletes, master data updates and changes to order forms.

Execution of order forms includes communication of all launches, promotions, discontinuations (with stop ship dates), and price increases to the KAD/Planner's & Head of Sales.

Collect product availability reports from DP/Marketing partners to highlight and communicate any changes to the short-term/mid-term team and Account Team to be addressed.

Work with Manager on promotional order forms (sets) to align on allocation method, entry details and timeline.
Allocations: Launch / Promotional/ Non-Saleable

Launch:

Responsible for maintaining allocation files.

Alignment with Supervisor on allocation level (Chain, Account, Door, Suggested)

Entry into the allocation system with follow through to close.

Promotions/Gift Sets: Varies by Brand

Obtain from Marketing seasonal gift sets order forms.

Compile set allocation file to include sell thru performance of previous season sales history, production quantity, and any retailer sales requests.

Work with Supervisor to determine allocation direction and prepare proposed allocations to review with Sales.

Enter in allocation system and provide reporting to show allocation vs. ordered to monitor shipments and provide visibility to excess by product by account.

Non-Saleable (Collateral, Samples, displays, testers):

Obtain allocation details on order forms and enter allocation by account.

Alignment with Supervisor on allocation level (Chain, Account, Door, Suggested)

Coordinate seasonal sample allocations, enter in system and provide reporting as needed.
Administration Tasks for Order Management

Quota Violations - Run and publish daily order quota violations reports. Collaborate with Sales Planning to address low level issues and work with supervisor to address any challenges where strategic decision may be needed.

Continuously update Launch Summary (Sell in Chart) file with all relevant changes for all seasonal order forms relating to ship date changes and sell in dollars.

Collect from Marketing / Supply chain / Inventory Management/ Customer Service various questions on order forms or logistics and provide ad hoc reports or analysis as needed to review with Supervisor to aid in resolution.

Stock Constraints - Collect from Supply Chain and communicate reports (weekly, monthly) to inform National Account team of stock constraints (medium to long-term) and action plans through Product Availability Reports.

Discontinued Product - Communicate Discontinuation product lists for product renovations and formula/sizes to National Account team to coordinate with retailer to minimize returns.

Excess Inventory- Publish Allocation Detail Report (Allocated vs. Ordered) for both saleable and nonsaleable items to provide visibility to the Sales Team to order and avoid E&O (excess and obsolete) inventory.

SRP Price Changes-Aid and facilitate in the communication of SRP price change lists/process to the National Account team to share with the retailers.

Merchandising Files - Varies by Brand. Manage display merchandising files used to assist in by door allocations. Reconcile Yoobic field reports with details by door vs. master summary to adjust as needed.
Section 4: Desired Skills and Qualifications

Bachelor's degree required

1-3years in Administration / Analysis or like job field

Good Communication Skills

Good Analytical, Project Management and Collaboration skills

Proficiency in Excel is required. Microsoft Office proficiency is preferred.

Good organizational skills and ability to manage multiple business priorities concurrently

Ability to work cross functionally

Prior experience working with an SAP environment a plus

Positive attitude, team collaboration and good people skills
