Description
The Assistant Manager of Education Services is responsible for the training of a remote team of Education Services Representatives and Meeting Planners. This individual is also the key liaison for the brands, vendors and retailers on the seminar administration sourcing and RSVP management process.
Seminar Administration Process
• Identify and address issues for all seminar operations—drive to root cause for solutions and collaborate with OneSource Supervisors on risk mitigation.
• Catalogue all issues on master tracker and identify common themes for coaching and process improvement.
• Execute quarterly seminar mapping updates with OneSource to make recommendations on optimal seminar locations based on seminar requirements, travel staffing and budgets.
• Meet with retailers quarterly to secure blackout dates and process changes. Communicates process and policy updates/changes to HOE.
• Documents all brand requirements for seminar sourcing, registration and logistics on time and in a format to be used by entire sourcing and services team.
• Conducts weekly/biweekly brand stakeholder meetings during peak seminar season to monitor progress, provide updates, escalate any at risk seminars and make recommendations to brands for decisions.
• Evaluates SLAs and takes action to train and make recommendations that improve overall process, driving accuracy and efficiency.
• Identify field training needs on seminar administration. Build skills in key areas through virtual training, videos, tools/resources.
• Seasonal tracking of capacity and seminar projections to inform resource allocation.
• Monthly analysis of brand seminar surveys to identify areas of opportunity and process improvements.
• Support seminar delivery through Vimeo production for Livestreams and Hybrid seminars.
• Partner with Global Travel to ensure contract T&C negotiations and concessions follow corporate and brand guidelines.
Vendor Management
• Liaison and negotiate with vendors supporting education services.
• Build relationships with vendors and serve as COE SME and transfer skills/capabilities to stakeholders.
• Support the implementation of technology including UAT testing to create efficiencies for education services.
Qualifications
• Train and support a large team’s adoption of seminar administration processes and navigate the complexities of this process with the Brands, retailers, vendors and remote teams.
• Demonstrates an ability to analyze project issues at a high level to identify root cause and make recommendations for both long-term solution and immediate actions to mitigate any risk.
• This individual has high degree of autonomy in managing through roadblocks and issues—and needs to discern when to escalate issues to COE leadership.
• Role requires a working knowledge of project management, event management and travel policies and practices.
• Builds highly collaborative relationships across OneSource, Brand Education and retail partners.
• Ability to lead the end-to-end seminar process for a large number of events at a fast pace—with accuracy and efficiency.
• Detail-oriented and exacting; proficient with excel, familiarity with databases, strong sense of urgency and responsiveness; resourceful, natural problem solver and makes good decisions; good negotiator and networker, strong written and oral communication skills; able to build positive and productive relationships inside and outside organization.
• Firsthand experience of US and Canada travel and meetings strongly preferred.
• Travel in and out of the continental US required—approximately 25% travel
Pay Range:
The anticipated base salary range for this position is $73,150.00 to $109,200.00 . Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with the possibility for overachievement based on performance and company results.
