Coordinator, Sales Reporting & Administration, By Kilian and Frederic Malle, North America

Administrative Responsibilities 20%:

  • Manage calendar for VP/GM and help them stay on track during the day

  • Monitor important emails and screen calls; take action as necessary

  • Coordinate busy travel schedule for VP/GM’s store tours and retailer meetings

  • Maintain product closet inventory as well as departmental office supplies

  • Plan department’s monthly business meetings and birthdays

Event Planning:

  • Facilitate retailer meetings in both Fall and Spring (includes booking conference rooms, ordering catering, setup and clean-up)

  • Assist with any other department or field meetings, i.e. regional roundtables

Budget Responsibilities:

  • Prepare and process expense reports on behalf of the VP/GM

  • Manage the meeting card for the department (includes expense reporting)

  • Assist with the budget for Sales Meeting

Sales Reporting & Analysis 50%

Sales Collection and Input

  • Coordinate the collection and entry of accurate and timely retail sales by region, account, and door level on a weekly, monthly and quarterly basis (collaborating with account leads).

  • Distribute weekly, monthly, quarterly, seasonal sales results by retailer by mix by distribution type.

  • Retrieve sales data from Datawarehouse for variety of reports.

Update various business review decks in preparation for senior management meetings

Analyze and review with Account Management sales trends and risks and opportunities.

Prepare, update and maintain brick & mortar counter decks

Analyze retailer data including consumer information, market data, product data to assist in future planning

Coordinate and enter all audited sales data and plans into internal field sales management system

Assist with sell thru information on prior launches to assist in creating new launch allocations

Managing new distribution 10%

Maintain and manage new door opening summary grids

Meeting Preparation 10%

Prepare sales data for slides for retailer meetings

Maintain Outlook, Retailer Appointment Calendar

Maintain Retailer Contact Lists

Sku Management 10%

Maintain Order Forms by Distribution Type.

Maintain field alignment grids


  • Position requires 2-3 years experience in anadministrative environment

  • College or university degree required

  • Proficiency in Microsoft Word, Excel, Outlookand Powerpoint

  • Excellent organization, multi-tasking,communication and writing skills

  • Ability to handle a fast-paced environment, workwell under pressure, problem-solve and seek excellence in execution
