Position Overview

Provide administrative and logistical support to ensure efficient operations for CBS’ Multi-platform Distribution (MPD). As MPD includes staff in multiple locations, the Department Coordinator will support the Vice President and employees through a variety of tasks related to organization, communication and project management. A successful candidate will be self-motivated, quick-thinking, flexible, collaborative and able to juggle multiple and diverse responsibilities an unwavering attention to detail at all times. This position requires someone who is able to exercise good judgment and who takes significant initiative.

Primary Responsibilities

  • Maintain a high volume calendar, including scheduling of internal and external meetings with multiple parties across multiple time zones.

  • Manage general administrative duties, including maintaining contact lists, processing expense reports, facilitating team and visitor requests, ordering supplies, monitoring invoices, sorting and distribution of mail, maintaining employee holiday records, .etc.

  • Promptly resolving departmental administrative issues

  • Organize and schedule meetings/appointments; book conference calls, rooms, taxis, couriers, hotels etc.

  • Handle sensitive information in a confidential manner at all times

  • Create, modify, and format documents electronically including emails, itineraries, status reports, presentations, spreadsheets, and other related documents

  • Collect and prepare sensitive information for use in discussions and meetings with the organization’s staff and outside individuals. This includes contacting company personnel at all organizational levels to gather information and prepare reports.

  • Attend meetings and records meeting discussions and notes for distribution to attendees.

  • Keep track of actions items (owners/dates/status) related to key initiatives/projects, and follow-up items from meetings.

  • Plan, coordinate and arrange team events, meetings and staff appreciation events.

  • Experience with designing processes to maximize efficiencies

  • Flexibility to support multiple time zones



  • Strong written, verbal and interpersonal relationship skills

  • Highly-skilled with MS Outlook, Word, Excel, and PowerPoint

  • Proficient in creating formulas within Excel

  • Proficient in collaboration tools such as Slack, Skype, Zoom, WebEx, Trello, Google Docs, Box, .etc
