The Nightingale-Bamford School Director of Auxiliary Programs in New York, New York

The Director of Auxiliary Programs will be responsible for the oversight of all extracurricular programming. This includes being responsible for the direction and operations of the school’s lower and middle school after school programs, summer camp, weekend programming, during the school day and busing. The ideal candidate must have experience in after school programming and the development, implementation, and coordination of programs and services that meet the needs of our students while aligning with the mission of the school to create access to meaningful supplemental programming experiences that will serve all students. The successful candidate will have strong enthusiasm for auxiliary programming for K-12 students and will take initiative, having experience leading educational, after school or camp programming. T his position works closely with the director of special events and the scheduler and reports to the Chief Administrative Officer. This is a full time, 12 month exempt position starting July 1, 2024.

 

RESPONSIBILITIES INCLUDE (but are not limited to):

Essential Functions and Key Objectives

  • Collaborate with school leadership, administration, and faculty to ensure all auxiliary programs align with the school’s mission and philosophy

  • Design, enhance, and expand program offerings in alignment with a strategic auxiliary programs vision

  • Develop new programs, working with faculty and division heads to ensure that programs align with the school’s mission and meet the needs of families

  • Continually explore innovative opportunities for leveraging the intellectual and physical assets of the school

  • Optimize the use of school facilities outside the typical school day/year

  • Annually seek and analyze input from participants and staff regarding the quality of their program experience

  • Seek to identify partnerships that may enhance auxiliary program potential

    Program Management

  • Oversee and manage all auxiliary programs including but not limited to: after school programs, auxiliary academic programs, after-school extended care and enrichment programs, weekend programs, facility rentals and the campus store, 

  • Research and procure class curriculum and secure outside vendors for Hobbyhorse

  • Provide an appropriately safe, caring, and enriching environment for all auxiliary program participants

  • Establish routines, provide positive guidance, and enforce policies and procedures, including disciplinary policies, in accordance with the school’s stated values

  • Provide support of all faculty and staff of auxiliary programs

  • Oversee all aspects of campus rentals by creating policies, protocols and procedures for facilities usage and pricing for all events and programs on the school’s campus beyond the regular school day

  • Hire, train and manage staff, and work with the business office on contracts, invoicing, payroll, background checks and any other compliance requirements 

  • Manage daily operations of the after school and weekend and programs

  • Work with summer camp directors to ensure summer programming, equipment, planned field trips and staffing are in compliance with health and safety guidelines

  • Plan space for the camp with the summer camp directors and the director of special events and programs

  • Collaborate with the lower and middle school administrative teams, and families as needed to establish student expectations and norms for engagement

  • Communicate with parents and vendors to respond to questions and uphold school policy

  • Supervise the program directors and all other auxiliary staff

  • Explore new program offerings and initiatives to generate additional revenue

    Financial Management

  • Work with the Business Office to ensure fiscal health of all programs including:

  • Planning and coordinating program budgets

  • Submitting payroll data to Human Resources for processing

  • Coordinating registration, billing, and the collection of payments

  • Negotiating and managing contracts with vendors and off-campus organizations

  • Reporting results and providing reports on enrollment and staffing

  • Monitor revenues and expenses on a monthly basis in accordance with budgetary restrictions for bottom line performance across all programs

  • Work with individual program directors to ensure profitability of their programs.

  • Establish appropriate compensation for all auxiliary program employees in coordination with the Chief Financial and Operating Officer and the Director of Human Resources.

    Marketing and Communications

  • In coordination with the Communications and Marketing department, develop and implement a comprehensive marketing strategy for all auxiliary programs.

  • Ensure that all auxiliary programs have an effective and accurate internet presence including website, social media, and digital marketing.

  • Plan and coordinate the publishing and advertising of program catalogs, brochures, and schedules.

  • Manage all public relations and marketing initiatives including open houses, mailers, brochures, camp fairs, and ad placement to promote and communicate the programs to prospective and enrolled participants.

  • Write and distribute regular communications among auxiliary program constituencies that effectively provide updated information and a sense of community.

  • Write weekly program updates for parents to be included in the weekly all-school communication.

  • Work with faculty and staff to ensure seamless communication between day and after-school programs.

    Transportation Coordinator

  • Survey newly admitted families and current families to gauge interest in transportation for next school year. (April-June)

  • Meet and coordinate with peer schools and bus companies to discuss potential route changes and generate routes suited to the overall transportation needs of each school. (April-June)

  • Once established, communicate route information to interested families with final times and driver information. (June-August)

  • Work with the business office to set up payment structures for families (June-August)

  • Continuously communicate with families and respond to their questions, concerns, and changes (August-September) in a professional, courteous and timely manner

  • Be responsible for the safe onboarding of students onto the appropriate bus (September - June)

  • Be on call in case of bus emergencies (i.e. late bus, accidents, mechanical issues) and communicate with parents and Nightingale staff (security & division heads) in a professional, courteous and timely manner. (September-June)

  • Be the primary liaison for all private transportation questions  

    REQUIRED QUALIFICATIONS:

  • Undergraduate degree in education or related field

  • 5-7 years of summer/auxiliary program experience with 3-5 years of progressively responsible experience managing summer/auxiliary programs

  •   Expertise in marketing summer or similar programs using a variety of technology resources (including social media)

  • Strong financial acumen with demonstrated ability to develop and manage a budget.

  • Experience in program management and supervising staff

  • Experience working with transportation programs, a plus

  • Ability to manage sensitive and confidential situations with discretion and diplomacy

    SALARY

    In compliance with NYC’s Pay Transparency Act, the annual base salary range for this position is $100,000 - $130,000. Nightingale considers factors such as (but not limited to) scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
