About the Department
Our Event Development and Production department develops and produces NYRR events from concept all the way through execution in a way that fulfills NYRR’s mission. NYRR produces 56 races per year, in addition to the TCS New York City Marathon, and additional events within each race. The events team is responsible for physical site management, volunteer management, hospitality and special events, safety & security, and managing our Warehouse and all race collateral.
Execute NYRR event staffing recruitment, onboarding, training, placement, and recognition strategy for over 450 part-time staff, seasonal, and vendors annually to ensure a safe and successful event. Manage the customer service experience year-round. Provide on-site event staffing management at 56 weekly races, the 5 Borough Series, and the TCS New York City Marathon.
About the Position
As a member of the Event Staffing team, the Event Staffing Specialist will report directly to the Director, Event Staffing, and lead the recruitment, placement, and management of all part-time event associates needed to support 50 plus NYRR weekly events, 5 Brough Series, and the TCS New York City Marathon. The Event Staffing Specialist will also, manage one part-time direct report who will support 70 plus youth events.
Job Responsibilities (primary and secondary duties):
Supervisory Duties and Responsibilities
Supervise the part-time Youth Events Staffing Coordinator.
Effectively manage employee performance through communication of expectations and standards.
Delegate and distribute tasks and responsibilities appropriately.
Track employee attendance.
Weekly Races and NYRR 5 Borough Series
Assist in the overall budgeting process and monitoring.
Staffing Plan Development
Coordinate with the Event Management and Logistics (EML) Team and Volunteer Operations (VO) Team to determine needs and ensure appropriate number of full-time and part-time staff to manage events.
Prepare detailed staffing plans detailing staff placement for each NYRR event.
Part-time Staff Associates Onboarding
Build-out and post opportunities for over 56 plus races in SubItUp.
Correspond with part-time staff for each event. This includes collecting availability, sending confirmations, alerting them of possible changes, tracking employee attendance, and processing payroll, and expense reports.
Payroll and Expense Reports
Manage the overall timeliness of event staff payroll and travel expense reimbursements.
Uniform Inventory and Distribution
Manage uniform inventory of part-time staff apparel for all NYRR events.
Assist in the preparation of bi-weekly reports and updates by collecting, analyzing, and summarizing information and trends.
TCS New York City Marathon
Assist with the management of onsite staffing support with Director, Event Staffing.
Minimum 7 year’s work experience in human resources, events a plus.
Strong knowledge of HR policies and practices required.
Ensure compliance with New York State workplace laws, including EEO, wage and hour and workplace safety.
Experience managing large budgets.
Previous knowledge of workforce management software, i.e., SubItUp, Kronos, etc.
Experience with managing a large budget.
Previous experience with managing staff
Internet savvy for sourcing candidates.
Ease with public speaking and facilitation to represent NYRR at various staffing related functions.
Must be proficient in Microsoft Applications (Excel, PowerPoint, Word, Outlook, & Teams).
