Position Summary

Columbia Business School is seeking a seasoned Executive Assistant to support the Dean. As a key member of the Office of the Dean, the Executive Assistant provides proactive, responsive and effective executive level support to the Dean of Columbia Business School. The Executive Assistant ensures a professional face of the Office of the Dean's operations, efficiency, effectiveness and success, while exercising discretion and judgment in performing a wide variety of duties.

The Executive Assistant is responsible for managing the day-to-day activities of the office of the Dean. He/she will provide high level administrative and executive level support to the Dean and work closely with faculty, students, administrators, alumni, senior corporate executives and major contributors (both corporate and private) throughout the United States and abroad.


  • Working independently, provide high-level executive support for the Dean, with utmost confidentiality and discretion. Correspond on behalf of the Dean as needed, manage calendar, schedule meetings, develop and collect agendas and materials. Manage the Dean’s various aspects of expenses; prepare and submit expense reports for timely and accurate reimbursement.

  • Manage the Dean’s extensive calendar, using sound judgment in determining priorities and overseeing all engagements and extensive travel schedule. Work collaboratively with colleagues in the Office to ensure optimal coordination of the senior leadership teams. Work collaboratively to schedule the Dean’s numerous daily activities and travel.

  • In partnership with colleagues at the Dean’s Office, participate in the planning and coordination of school-wide faculty meetings, tenured faculty meetings, promotions and tenure meeting, and schedule committees meetings and catering.

  • Responsible for the oversight of electronic information. Create and update webpage information for the Dean including updating their CV.

  • Other duties as assigned.

Minimum Qualifications

Bachelor’s degree and/or its equivalent required. 3-5 years related experience required.

Excellent interpersonal, organizational, and oral and written communication skills are essential, as is attention to detail. Demonstrated writing skills are required. Must be proficient in MS Word and PowerPoint. Must be able to work independently and under pressure, managing multiple tasks simultaneously in a fast-paced environment. High level of professionalism needed. Tact, diplomacy, and the ability to exercise discretion and judgment in matters that are sensitive and confidential is required. Must be a team player and willing to work with all levels of faculty, students, and staff.

Preferred Qualifications

Knowledge of presentation, database, and spreadsheet applications preferred. Experience working for a senior ranking member of a management team preferred. Experience managing multiple demands and changing priorities preferred.
