Scholastic Executive Assistant, Divisional Office Manager in New York, New York
Job Description:
THE OPPORTUNITY
We are seeking a dynamic and highly organized Executive Assistant and Divisional Office Manager to join our team. This position is essential to ensuring the seamless operation of executive and various functions while driving initiatives and managing key projects across the Trade organization. The ideal candidate will possess exceptional administrative skills, a keen understanding of organizational dynamics, and a proactive approach to problem-solving.
RESPONSIBILITIES
Executive Assistant
Administrative Support : Provide comprehensive support, including complex schedules, organizing meetings, planning travel, submitting expenses, and maintaining organized systems.
Meeting Management : Prepare the President with all necessary materials and information in advance of meetings and assist in building agendas, taking notes, and follow up on action items to ensure timely completion.
Strategic Initiatives: Support the President’s strategic initiatives by monitoring progress toward business objectives, gathering and analyzing data from various systems, and building strategic presentations.
Divisional Office Manager
Communication :
Act as a liaison between the Trade Leadership team and internal/external stakeholders, handling inquiries and delivering information with discretion and professionalism.
Develops trust and builds strong relationships with all employees, fostering interdepartmental collaboration, while helping to identify and solve problems/obstacles that are impacting goals.
Office Management : Assist and/or lead various cross-functional projects, including coding invoices, tracking manuscript submission, updating organizational charts and managing onboarding for all new hires and guide hiring managers in the division.
Document Preparation : Draft and edit reports, presentations, and correspondence as needed.
Operational Efficiency : Function as a project manager for key initiatives, implement systems to improve efficiencies, analyze and present data drive momentum, and manage follow through.
Data Analysis : Conduct industry research and provide thoughtful and timely insights to identify trends and inform strategy.
Event Planning : Plan seasonal divisional events with an average of 240 attendees, purchasing gifts, overseeing budgets and hiring vendors as required.

Qualifications
HOW YOU CAN FIT (Qualifications)
Knowledge, Skills, and Abilities: Exceptional organizational and multitasking abilities, strong written and verbal communication skills, proficiency in office software (e.g., Microsoft Office Suite, Google Workspace), and proficiency in data analysis.
Experience: Minimum of 5 years of experience in executive assistance or administration. Project management experience is a plus.
Education: Bachelor’s degree in business administration, Management, or a related field. Advanced degrees or certifications in executive management are a plus.
