Digital Intelligence Systems, LLC (DISYS) Executive Assistant in New York, New York

JOB DESCRIPTION

Job Title: Executive Assistant

Location: New York, NY (Hybrid, 3 days on-site)

Duration: 6 months contract with possible extension/conversion

Job Details:

Directly supports Managing Director

Manages day-to-day calendars of MD, including scheduling for department-wide meetings

Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls and conference rooms

Coordinates travel arrangements; prepares and distribute schedules/agendas for travel

Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system - Pre approves all expense reports submitted to Managing Director to assure they are within policy

On-boarding of new employees with regards to equipment requests, space and accommodations

Obtains building and floor access for staff in various locations

Manages supply and equipment orders through P2P and Marketplace

Processes and follow-ups on Virtual Requests

Assists in ad-hoc reports special projects and meetings as needed

Develops and maintains close working relationships Risk Management constituents

Responsible for raising, investigating, and following up on issues as needed

Ability to operate with a limited level of direct supervision

Qualifications:

Seasoned Executive Assistant who has previously reported senior managers in this capacity

5-10 years of experience in related roles

Ability to operate flexibility and deliver under tight timeliness

Good team player and excellent work ethic

Strong communication, organizational & interpersonal skills
