Reporting to the Director of Academic Administration and Finance and working closely with the Business Officer, the incumbent provides general administrative support for all financial activities of the EALAC Department.

Using Columbia University's financial management systems, the Financial Assistant processes accounts payable and purchasing transactions including check requests, purchase orders, requisitions, invoices, reimbursements, and travel and business expenses; processes check deposits and coordinates internal billing; reconciles vendor payments and resolves any financial processing issues with vendors, managers, and central procurement.
Assists the DAAF with monthly reconciliation of accounts and annual fiscal closing; researches and resolves problems with overdrafts and budget errors as needed.
Assists with monitoring department conference and event budgets and expenses; advises faculty and students on related financial policies to ensure compliance and avoid overdrafts; makes hotel and travel arrangements as needed; coordinates catering and room reservations for department meetings and events; reconciles monthly purchasing card transactions.
Monitors department faculty research account balances and expenses; assists faculty with equipment and other purchases.
Processes and tracks graduate student travel applications, summer funding applications, and other student funding activities; collects and updates internal financial paperwork; processes student payroll, including teaching fellows, research assistants, student casuals, and work study employees; assists with collecting and processing general hiring paperwork for faculty and other associates as needed.
Tracks inventory and orders office supplies; oversees maintenance and repair of office equipment and furniture; prepares and tracks facilities service requests.
Prepares departmental financial reports as needed for the DAAF and Chair.
Performs general administrative and clerical duties, including answering telephones, recording meeting minutes, directing office traffic, filing, copying, and related office tasks.
Other duties as assigned.
High School Diploma or its equivalent required.
Two years of related experience required.
Prior experience with University financial systems strongly preferred.
College degree preferred.
Experience or interest in the field of East Asian Languages and Cultures highly valued, but not required.
Strong organizational, interpersonal, oral and written communication skills required. Must possess strong attention to detail and be capable of working effectively both individually and in a team environment.
Proficiency in Microsoft Office programs, including Microsoft Word and Excel, required.
