City Harvest Gift Processing Assistant (Raiser's Edge) in New York, New York

Job Overview:

The primary purpose of this role is to provide support to the External Relations Operations (ERO) team and External Relations through gifts processing of checks, credit cards, stock, Import-O-Matic file imports and EFT donations. Regular communication to the ERO team members is required to ensure that all gift types are entered and committed into the database with accuracy, consistency and on time. Primary responsibilities for this role include:

Roles and Responsibilities:

  • Sorting, scanning and copying check donation detail from gifts received via mail

  • Retrieving EFT donation detail information from third party vendor websites and mail-in forms

  • Retrieving Direct Mail donation detail information and importing corresponding donation information into The Raiser’s Edge database via Import-O-Matic

  • Generating constituent notification letters for donations made in tribute to City Harvest’s constituents

  • Creating gift batches for donations and committal into database after reviewing for accuracy

  • Cross-functional collaboration with City Harvest staff to troubleshoot gift entry errors and discrepancies

  • Administer daily correspondence to External Relations staff for retrieval of donation coding details and notification of signification donations

  • Management of City Harvest’s online and in-house recurring gift donors (Rescue Partners), including outreach to External Relations staff to verify donation accuracy, closing expired recurring gift pledges and adjusting details to existing active recurring gift pledges as needed, and sending monthly donation reminder letters to Rescue Partners monthly

  • Management of incoming pledges, ensuring accurate data entry of pledges, retrieval of pledge detail as needed

  • Cross-functional communication within ERO, External Relations, Finance Department and external gifts caging vendor staff to ensure that all gift entry is accurate and complete

  • Maintenance of ERO SharePoint files for gift correspondence back-up

  • Delegation of gift entry responsibilities to ERO temp during high-peak gift entry, seasonally

  • May perform other duties for the department as assigned

PRIMARY RESPONSIBILITIES

  • Sorting, scanning and copying check donation detail from gifts received via mail

  • Retrieving EFT and Direct Mail donation detail information from various vendor platforms

  • Gift entry and committal of various donation types into The Raiser’s Edge database

  • Cross-functional communication with ERO, External Relations, Finance Department

  • Administer daily correspondence to External Relations staff for retrieval of donation coding details and notification of significant donations and gift caging firm staff

SECONDARY RESPONSIBILITIES

  • Management of City Harvest’s online and in-house recurring gift donors (Rescue Maintenance of ERO’s SharePoint files for gift correspondence

  • Generate constituent notification letters for recurring donors (Rescue Partners)

JOB SPECIFICATIONS

  • Superb attention to detail and excellent organizational skills  

  • Experience with Blackbaud fundraising software, including Raiser’s Edge, RE NXT, Luminate is a plus, but not required

  • Knowledge of Import-O-Matic software is a plus

  • Direct experience handling cash, check, EFT and credit card donations  

  • Working knowledge of Microsoft Office 365 Suite, including SharePoint  

  • Proficient knowledge of Microsoft Excel 

  • Familiarity with FileZilla a plus 

  • Experience with mass batch import in CRM software  is a plus

  • Excellent communication and interpersonal skills  

  • Demonstrated initiative in work tasks

REQUIRED EXPERIENCE

  • Education: High school diploma or equivalent (may have additional formal training or coursework)

  • Experience: 2 years of work experience

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

  • Regularly required to speak clearly and hear the spoken word well.

  • Regularly required to physically operate routine equipment (computers, calculators, etc.).

  • Regularly required to utilize near vision ability to read data and documents, including spreadsheets and reports, in printed form and on computer screens.

  • Regularly required to move fingers, wrist, arms, legs and feet in a repetitive manner as necessary to operate tools and equipment
