LOCATION/HOURS

This is a full-time, hybrid position based out of our New York City office location. It is expected that some duties will be performed on-site, and some remotely, with the understanding that government and public health guidelines will determine the extent to which it is safe to carry out in-person and onsite activities.

POSITION OVERVIEW

The Operations Coordinator, Real Estate & Administration is a key member of the Real Estate & Administration team at SEO in ensuring all spaces provide a safe, efficient, and welcoming environment for all members of the SEO community. This role will have the opportunity to sharpen project management skills, build and improve processes, and help ensure SEO’s spaces are optimized to support a hybrid workforce. This position reports to the Director, Real Estate & Administration, with whom the Operations Coordinator will work closely to plan and successfully execute projects with wide-reaching impact.

  • Project Management:

  • Support effective planning of Real Estate projects such as office improvements, renovations, and establishment of new offices or programming locations

  • Serve as project manager for major team projects to ensure smooth execution and on-time completion

  • Lead implementation of new operational systems and resources

  • Policy and Procedures:

  • Assist with development of policy, procedure, and training documents

  • Update and maintain existing materials

  • Support implementation of new or updated policies

  • Safety and Security

  • Support the maintenance and continued improvement of safety protocols and emergency preparedness measures

  • Manage emergency communication platform and coordinate periodic drills and system tests

  • Help ensure all SEO office and programming locations meet internal safety standards as well as comply with OSHA, New York Heroes Act or other relevant external requirements.

  • Ongoing Operations:

  • Manage day-to-day office systems, such as administering SEO’s space management platform and office access cards.

  • Coordinate work with building vendors and internal stakeholders to ensure timely completion and ongoing upkeep of SEO offices

  • Supervise temporary and seasonal part-time staff as needed

  • Other duties and responsibilities as assigned

QUALIFICATIONS

  • Bachelor’s degree from an accredited college or university

  • 3+ years of related experience in office administration, real estate, or facilities management, preferably in a nonprofit setting

  • Must be in commutable distance to SEO’s New York Office and be able to work in-person on a hybrid schedule

  • Experience implementing new policies or resources

COMPETENCIES & SKILLS

  • Strong project management skills, must be able to complete a project from start to finish

  • Proficient in cloud-based workplace collaboration tools and space planning tools

  • Able to work in fast-paced, multi-priority environment

  • Good communication and presentation skills, both written and oral

  • Ability to adjust and react with optimism and professionalism, is solution oriented

  • Strong organizational skills, time management and project management
