The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryThis role is a crucial part of our newly formed Artificial and Natural Intelligence Institute (ARNI), which is a National Science Foundation (NSF) - funded consortium led by Columbia University and involves multiple organizations. The position encompasses three main responsibilities:Communications and Outreach Program Facilitation: Reporting to the Managing Director of ARNI, this role will be pivotal in communication and outreach. The outreach aspect will involve managing engagement efforts with various audiences and organizing events and activities. This includes public outreach through partnerships with institutions like the New York Hall of Science (NYSCI), involvement in kids' programs with the global Neuromatch Academy (NMA), and organizing public lecture series in collaboration with our member organizations. This role will also focus on educational outreach, connecting students to research opportunities at member institutions and industry partners, with a specific focus on supporting historically underrepresented groups in STEM fields. Communications: In the communications capacity, the position will contribute to promoting ARNI's communication strategies, supporting the ARNI community, and maintaining a consistent brand image and messaging across all communication channels. This includes managing the ARNI website, newsletter, and other communication channels to ensure effective dissemination. Additionally, the role will facilitate educational and training activities for ARNI faculty and trainees, which involves sharing educational materials and coordinating seminars and workshops among member organizations. Operational Support: in the operational support role, this position will oversee various educational, logistical, operational, and communication activities. Day-to-day office operations, leadership in website content and social media management, grant management and reporting, program administration, budget management, and maintenance of directories, rosters, and mailing lists all fall under the purview of this role. In both the communication and administrative aspects, the position plays a central role in ensuring the smooth functioning of ARNI and the effective dissemination of information to various stakeholders.Responsibilities- Communications (30%): * Strategy and Content Creation: Actively participates in the development of communication strategies and contributes to the creation of content for multiple platforms, including the ARNI website, social media, newsletters, and press releases. * Facilitating Effective Communication: Ensures effective communication flow between faculty and stakeholders across partnering institutions within ARNI. * Brand Consistency: Contributes to the development and maintenance of a consistent brand image and messaging across all communication channels and ARNI sites. * Event Promotion: Promotes and coordinates events, seminars, and workshops related to ARNI's research and educational activities. * Website Management: Regularly updates and maintains website content, collaborating with Columbia Engineering's Communications Office for website design and functionality. * Administrative Tasks: Manages directories, rosters, and mailing lists to support smooth communication operations.- Outreach (30%): * Program Management: Responsible for overseeing the execution and assessment of ongoing outreach programs and activities. This includes managing strategic communication materials, promoting program achievements, and enhancing program visibility within the school, university, peer institutions, industry, and the wider community. *Event Coordination: Managing meetings, events, conferences, and speaker series related to the outreach efforts. *Publicity: Responsible for publicizing programs and events through written and electronic formats, ensuring that outreach activities reach their intended audience effectively. * Collaboration: Works closely with other members of the outreach team, faculty, staff, student groups, key volunteers, and various campus partners. The goal is to create opportunities and foster relationships between the institute and the local community.- Administrative Support Responsibilities (40%): * Operational Oversight: Responsible for the day-to-day operational activities of grant- funded outreach initiatives, ensuring their smooth functioning. * Reporting and Analysis: Generating and analyzing comprehensive reports and presentations covering various aspects of these initiatives. * Liaison Role: Serves as a liaison between Program faculty and other departmental and university offices, facilitating communication and coordination. * Support for Research and Collaboration: Support faculty and trainees involved in research, broader impacts, and industry collaborations. * Financial Management: Manage financial matters, including billing, payments, and the development and provision of financial reports and presentations as needed. * Travel Coordination: Coordinates travel arrangements for ARNI members attending workshops, annual meetings, and other institute events. * Office Operations: Responsible for the day-to-day running of the office, ensuring efficiency and effectiveness. * Additional Duties: Performs any other related tasks, duties, and responsibilities as assigned.Minimum Qualifications- Educational Requirement: A bachelor's degree is a mandatory requirement for this position.- Experience: Candidates must possess a minimum of 3-5 years of relevant experience in areas such as program management, program evaluation, marketing, social media management, and/or event coordination.- Desirable Experience: Prior experience in organizing science education and outreach events, including after-school or summer programs, museum activities, and initiatives promoting inclusivity, is highly desirable.- Financial Skills: Financial acumen and sound ethical business judgment are essential. Experience in grant budgeting and maintaining financial records is a plus. Proficiency in analyzing various types of data, including student and financial data, is expected.- Technical Competence: Strong technical skills are a must, including proficiency in tools like the Google suite, Excel (with intermediate capabilities such as pivot tables and formulas), PowerPoint, publishing software, and social media and marketing platforms. Experience in designing promotional materials like flyers and social media posts is preferred.- Interpersonal Skills: Strong interpersonal abilities are required, including the ability to handle confidential information with discretion. Candidates should be capable of working both independently and collaboratively, with a proactive approach to anticipate team needs. Effective communication skills, including the ability to communicate tactfully in small and large group settings with staff, faculty, students, alumni, and other key stakeholders, are vital. Expertise in communications will be essential for coordinating and promoting institutional initiatives and fostering a sense of community across ARNI's partner institutions.- Administrative Skills: Excellent administrative skills are expected, with a keen attention to detail.
