Position Summary

Columbia Vagelos College of Physicians and Surgeons has an exciting opportunity for a Program Assistant to join the Office of Diversity and Multicultural Affairs (ODMA). Reporting to the Director and the Senior Associate Dean for ODMA, the Program Assistant will be responsible for assisting with the planning and facilitation of grant-funded Medical Education pipeline programs and contributing to the preparation and support of various programs and events offered by ODMA.

The Program Assistant’s responsibilities will include, but may not be limited to, the tasks outlined below. Some evening and weekend work will be required.


Primary responsibilities will include assisting with the coordination and facilitation of the State Pre-College Enrichment Program (S-PREP), the Summer Health Professions Education Program (SHPEP) and the Northeast Regional Alliance MedPrep Scholars Program (MedPrep). The individual in this role will manage several tasks that are designed to contribute to the continued success of these programs. Such responsibilities will include:

  • Assisting with the selection of applicants and maintaining application files

  • Collecting, tracking, and maintaining program data throughout the application process and duration of the program while contributing to the mid-program and annual reports

  • Assisting with planning and executing program events, including the organization of field trips and college visits

  • Providing ongoing college and career counseling of minority and economically disadvantaged high school students for SPREP

  • Assisting with the arrangement of the clinical rotation schedule and assignments for SHPEP

  • Updating and managing promotional materials as well as social media accounts for programs

  • Tracking program alumni and assisting with the development and maintenance of a comprehensive database

  • Assisting with survey and program evaluation processes

  • Responding to student questions and concerns via email, phone, and in person throughout the application process and the duration of the program

  • Participating in program-related meetings and conferences


The Program Assistant’s responsibilities will also include assisting with programs and events that are offered by the Office of Diversity and Multicultural Affairs. These events may include large-scale conferences/symposiums and receptions, initiatives for VP&S student affinity groups, and other ODMA enrichment programs. Specific tasks will involve:

  • Assisting with program support matters -scheduling AV, making room reservations, placing textbooks on reserve, and coordinating facilities request for office-sponsored events, etc.

  • Providing clerical support for the office by answering phone calls and responding to student inquiries and concerns

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus two (2) years of related experience

Preferred Qualifications

  • Proficiency with word processing, spreadsheet and database software

  • Excellent interpersonal, writing and communication skills

  • Ability to manage professional relations with various constituencies and represent the programs, department, and institution in a positive manner
