Position Summary:

We have an exciting opportunity to join our team as a Program Coordinator, Medical Scientist Training Program.

The Program Coordinator, Medical Scientist Training Program, works closely with the Associate Dean for Biomedical Sciences and Associate Dean for Research Training & Communications of the Vilcek Institute at the NYU Grossman School of Medicine, a division of the Graduate School of Arts and Science of New York University, to plan, coordinate, and implement aspects of MD/PhD program in line with the mission of the Vilcek Institute and the School of Medicine, from admissions, onboarding, communications, student tracking, and student reimbursements. The PC will cultivate and maintain working relationships with training faculty and students to ensure students are tracked and guided through the program, helping them navigate through medical school and graduate school. The PC will also optimize student and alumni tracking processes using our current student and alumni database. S/he will assist the assistant director, student tracking, as a centralized resource to help with MSTP T32 training grant reporting and renewals. S/he will also help organize events for the student community, from retreats, orientation, and various seminar series. This position carries personal responsibility for (1) administration of the MD/PhD program, including admissions and student services; (2) student and alumni relations and tracking; (3) management and oversight of training grant table database; and (4) other initiatives as required. Evening and weekend hours are sometimes required.
Job Responsibilities:
Demonstrate knowledge of the organizations Core Values and incorporate them into the performance of duties
Track academic progress of students throughout the program (rotations, qualifying exams, committee meetings, thesis defenses)
Maintain student records to track student progress through the program and their transitions between medical school and graduate school
Track alumni for reporting purposes and to maintain a cohesive community
Help with training grant tables and submission of MSTP T32 renewal(s) and progress reports
Work with student groups to organize social events and coordinate recruitment during admissions season
Organize academic events such as words of wisdom dinners, seminar series, and other lecture series.
Additional Position Specific Responsibilities:
Bachelors degree and/or three or more years of related experience or equivalent combination of education and
experience
Possess a demonstrated history of success working both independently and as part of a team
Demonstrate the ability to pay close attention to detail
Outstanding written, oral, and interpersonal skills
Must possess strong skills in diplomacy
Strong ability to think critically
Proficiency in Microsoft Office Suite and Adobe products
Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.
Preferred Qualifications:
Project/Program management experience preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.
