City of New York Project Development Coordinator for Bronx Administration in New York, New York

Job Description

ONLY OPEN TO CURRENT FULL-TIME ANNUALLY PAID PARKS EMPLOYEES

Major Responsibilities

  • Under general supervision, with latitude for independent initiative and judgement, assist Chief Administrative Services and perform difficult administrative functions at the Bronx Personnel division.

  • Provide administrative and scheduling support to the Chief Administrative Services and be able to work in a fast-paced environment with the ability to manage multiple priorities simultaneously.

  • Serve as a liaison to the other divisions within Parks or other agencies and organizations. Attend and represent the Chief of Administrative Services at meetings.

  • Maintain accurate records, prepare reports, perform filing and oversee records retention.

  • Provide general support services, including filing, data entry and responding to requests for information.

  • May compose and edit job postings, interview matrices and provide support for the scheduling and coordination of panel interviews.

  • Conduct research, collect and analyze data, produce reports and develop recommendations to improve agency efficiency.

  • Develop and maintain databases, trouble shoot and resolve issues in a timely manner.

  • Maintain accurate records and prepare comprehensive reports using data from various sources.

  • Identify emerging issues through data analysis or anecdotally and advise the Chief of Administrative Services.

  • Oversee and track annual probationary and full-time employee evaluations.

  • Track borough personnel changes and monitor district headcount changes.

  • Assist with human resources activities including full-time and seasonal hiring.

  • Prepare and present reports, coordinate resources to ensure projects are completed on time.

  • Utilize the Payroll Management system (PMS), Seasonal Tracking system and be highly proficient in Microsoft Excel.

  • Resolve obstacles and manage projects changes to achieve project goals.

  • Respond to inquiries from management, supervisors, employees, and the public and provide excellent customer service.

  • Assist management and staff with Citytime, Time & Leave and Payroll issues.

  • Manage special projects and assignments as needed.

  • Directly assist the Chief and Deputy Chief of Administrative Services with special projects as needed.

Qualifications

  1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or

  2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or

  3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
