Position Summary

Reporting to the Business Manager, the Secretary will be responsible for performing all front desk operations to optimize patient flow and care under general supervision, sometimes with limited supervision. The Secretary A will also be responsible for providing secretarial support for the Student Health on Haven and its divisions.

Responsibilities

  • Greeting and checking in all patients.

  • Making appointments by phone, in person or via email.

  • Contacting patients, prescreening as necessary

  • Responding to and, if possible, resolving inquiries by phone, in person, or via email.

  • Routing and documenting telephone calls.

  • Responsible for maintaining the main phone greeting and office schedule signs

  • Collecting monies in accordance with the CU financial accounting guidelines.

  • Maintaining records systems, including scanning information into the Electronic Health Record.

  • Initiating medical record requests as needed.

  • Creating and obtaining medical record numbers in EPIC

  • Explains policies and procedures to patient using administrative knowledge

  • Verify student enrollment/insurance eligibility prior to visit

  • Maintaining referral tracking system and serving as main liaison with students and providers

  • Daily mail pick up and distribution.

  • Other duties as assigned

Minimum Qualifications

  • Requires two years of college or completion of secretarial school or equivalent business experience, plus a minimum of one or two years related experience.

  • Must have ability to work 11:00 a.m. – 7:00p.m. & 7:45a.m. – 3:45p.m. Mon-Thurs and 8 a.m. - 4 a.m. on Friday (Must be flexible for hours during the summer)

Preferred Qualifications

  • Knowledge of MS Window Office Professional.

  • Excellent customer service skills.

  • Excellent organizational and written/oral communication skills.

  • Mathematical aptitude

  • Some typing ability

  • Ability to organize and schedule work

  • Familiarity with computerized reports, financial statements, grants admin, and financial accounting systems
