Position Summary

Supervised by the Associate Director of Admissions Systems, the Senior Admissions Systems Specialist plays a key role in the effective use of the systems and tools for the Office of Admissions across the portfolio of program offerings for the School of Professional Studies (SPS). The growing set of School offerings includes cross-disciplinary Master’s Degree Programs, Post-baccalaureate Studies, Pre-Graduate Certificate Programs, High School Programs, and the American Language Programs. The Senior Admissions Systems Specialist is responsible for ongoing support and day-to-day utilization of the systems and tools used to support recruitment, admissions, and early stage enrollment, including but not limited to, the online admissions application and ancillary forms, the CRM as it pertains to these areas with workflow and communication management, survey and event tools.

Responsibilities

Systems and Data Governance

  • On an ongoing basis, conduct proactive evaluation of existing workflows, identify, and execute improvements to workflows based on current needs and best practices.

  • Work with relevant parties to manage regular and ad hoc maintenance of admissions systems in place, ensuring systems are working as reflected in workflows.

  • Assist with resolving system problems and partner with the appropriate stakeholders to resolve problems that require escalation, including SPS team members, system user communities and vendors, as appropriate.

  • Write in-house reports as specified by stakeholders and provide analysis and insights based on findings.

  • Work with the data and information services staff to configure systems for reports.

  • Ensure data integrity across systems.

  • Assist in auditing of admissions systems and work as a liaison to troubleshoot identified discrepancies.

  • Run data matching processes in SIS on a daily basis.

Admission Functions

  • Ensure that the online admissions application and related forms in use are updated on a seasonal and ad hoc basis as required or assigned for all programs.

  • Assist with pre-launch application testing and QA process for all application instances.

  • Prepares the online application for each new enrollment cycle and updates all relevant fields. Proactively test, audit and troubleshoot the online application, decision review module, payment gateway, and associated workflows to ensure problems are identified proactively and resolved quickly.

  • Manages Zendesk ticketing for requested changes to application language.

  • Responsible for setting up new master’s and non-degree programs in the online application.

  • Document and execute relevant workflows reflecting current processes supporting admissions and operations.

  • Process decline and deferral forms and workflows.

  • Assist with school-wide events such as orientation and graduation.

Performs other duties as assigned or requested.

Minimum Qualifications

  • Bachelor’s Degree or equivalent

  • Two years of related experience required.

  • A resume and cover letter with salary requirements must be submitted for applicant to be considered for the position.

Preferred Qualifications

  • Experience in higher education, specifically in an admissions role.

  • Familiarity with SIS, TargetX, Slate, and other systems, applications, and software used by the University and the School.

  • Knowledge of SPS programs.

  • Working knowledge of current trends in higher education nationwide and internationally.

  • Demonstrated experience providing high quality administrative support for a CRM or online application for admission.

  • Intellectual curiosity, sound problem-solving and decision-making abilities, and strength in creative and innovative thinking.

  • Experience creating, and delivering high quality reports that support business goals.

  • Demonstrated ability to work collaboratively as part of a team as well as the initiative and ability to start and complete projects with minimum direction necessary.

  • Ability to handle confidential information in a mature, professional manner.

  • Advanced proficiency with Excel.

  • Proven ability to work with external and internal partners to reach a common goal.

  • Exceptional attention to detail and the ability to perform routine and non-routine work with changing priorities.

  • Demonstrated ability to manage multiple projects simultaneously.
