Summary:

This role will report to the Site Lead and be a part of the team that supports the office in cultivating connections between employees across a rapidly growing site through execution of various programs and events.

Required Skills:

  1. Manages Office Welcome programs including logistics, presentation development, and managing new hire groups.

  2. Manages event logistics, and execution for office social events using budget and strategy defined by Site Lead.

  3. Collaborates with Event Coordinator on planning, logistics, and execution for local Company Events (TYKTWD/Summer Party/holiday party) using company-defined HR budget.

  4. Works with Site Lead to develop & organize calendar of events each quarter.

  5. Leads event production for office-wide Events as needed including All Hands, and executive visits in partnership with Office Lead and event host(s).

  6. Hires and manages event production vendors as needed using budget for individual events (ex: holiday party, summer party).

  7. Collects feedback from attendees, hosts event debriefs, and compiles data on events to inform future planning efforts.

  8. Develops and maintains events/program wikis and micro-sites (restaurants, venues, offsite activities) and researches new additions to these categories.

  9. Manages purchase orders, vendor onboarding, and SOW creation in partnership with finance. Responsible for all aspects of site and event budget management with Site Lead.

  10. Manages New York-branded Swag ordering, stocking, and distribution using budget defined by Site Lead.

  11. Manages New York branded online swag store with local vendors.

Minimum Qualifications:

  1. 5 or more years of experience with project planning or event planning

  2. Experience prioritizing multiple concurrent projects

  3. Proficient in using Microsoft Office Programs, Adobe Photoshop, Keynote, Outlook, Event, and Registration Tools

  4. Proficient in using virtual platforms (e.g. Zoom, Bluejeans, etc.)

Preferred Qualifications:

  1. Strong time management and attention to detail

  2. Experience tracking several concurrent projects through to completion

  3. Experience working and collaborating effectively with cross-functional teams

  4. Experience in negotiation

  5. Experience managing budgets

  6. Experience taking direction and input to develop effective event strategies that are engaging, innovative and will achieve the office goals

  7. Knowledgeable about regional venues, activities, and events resources

  8. Experience multi-tasking and changing direction quickly

  9. Comfortable working through ambiguity and uncertainty

  10. Experience demonstrating diplomacy and tact
