JOB DESCRIPTION
Home Team Sports (HTS) is looking for a Temporary Executive Office Administrator to serve as the front-facing representative/office manager for the HTS headquarters in New York. This is a fantastic growth opportunity with long-term possibilities within the HTS division as the Temporary Executive Office Administrator will support all daily organization and operations of the HTS New York office, including assisting in all relevant current projects for the EVP, SVP, Operations Manager and other HTS executives (as assigned through the NY Operations Manager). In addition to general reception duties such as greeting, welcoming and directing all guests, clients, vendors, and contractors visiting HTS for a variety of business purposes, as Temporary Executive Office Administrator you will organize the use of company conference rooms and will arrange for all provisions necessary for the conduct of high level meetings. You will also be responsible for the allocation and tracking of promotional season tickets, assisting in ordering supplies for the NY office, and vendor management including onboarding and coding invoices for accounts payable.

A SNAPSHOT OF YOUR RESPONSIBILITIES

Reception Management / Administrative Needs
Meeting and greeting visitors
Handling day-to-day telephone communications
Coordinating and setting up client/vendor meetings
EVP and SVP calendar management and cross-functional scheduling
Document and file management ensuring the documentation produced is of the highest quality and files are accurate and up to date
Creating and tracking expense reports for EVP and SVP
Sales events ticket allocation and tracking

Office Management
Ensuring all supplies are restocked and organized in office
Opening, sorting and distributing mail, including receiving deliveries
Arranging courier services and UPS mailings
Keeping conference rooms neat
Manage New York Office calendar and daily office communication

Vendor Management
Managing accounts payable
Creation of purchase orders and office supply orders while managing costs within budget
Setup and onboarding of new suppliers/vendors as well as processing invoices in timely manner
Arrange complex domestic travel for leadership and key clients/vendors

WHAT YOU WILL NEED
College Degree required, with at least 2+ years assistant and/or office manager experience
Proficiency in Microsoft Office (PowerPoint, Excel, Outlook & Word) is required
Excellent verbal and written communication skills are necessary
Interpersonal skills are crucial as this position will interact with a highly variable range of personalities on any given day
Must have exceptional organizational, analytical and problem solving skills with superior attention to detail
Must have the ability to multitask, manage priorities and work effectively under daily time constraints
Must have a knack for using discretion in managing sensitive communications and business relationships
