Niagara University. Office Coordinator - Departments of Biology, ,Biochemistry, Chemistry, and Physics. FT. JOB SUMMARY: Under general supervision, the Office Coordinator provides administrative support and coordination for the directors of the Academic Center for Integrated Sciences as well as for the Chairs of the Biology, Biochemistry/Chemistry/Physics Departments, the Premedical Committee, Environmental Sciences, and the Radiation Safety Committee. ESSENTIAL DUTIES: * Provides administrative support for two academic departments, two university committees, and The Academic Center (includes biology, biochemistry, and chemistry). * Supervises the part-time secretarial staff; office, teaching, and laboratory student aides; coordinates student aid and faculty needs. Administers and maintains a salary budget for summer undergraduate research students for external projects & the Academic Center. * Utilizes Colleague to access information on students and courses * Maintains academic, scientific, and professional licenses and records. * Types and files academic and administrative records, scientific papers and grants, and memorandums. * Coordinates spring and fall student advisement. * Screens calls, screens visitors, and schedules appointments and meetings on behalf of the academic directors and chairs. * Makes travel, conference, and other professional function arrangements. * Places highly specialized orders for scientific equipment and biological and chemical supplies. * Maintains & manages to account for ten different departmental budget lines to include: biology, chemistry, academic center, pre-med, radiation safety, and all 12 accounts. Works with Principal Investigators and the Dean of Arts & Sciences for grant awards and budget issues. * Maintains departments and pre-med student files, and all records for the Academic Center. * Acts as administrative liaison with medical, dental, and professional school admissions and records personnel. Contacts area physicians and dental offices to set up student internships. * Performs clerical and secretarial duties for the chair of the premedical admissions committee, the chair of the radiological safety committee, departmental chairpersons, and the co-directors of the academic center. * Maintain confidentiality of information both during and after their employment with the University. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES 1) Basic knowledge of medical school and professional school application forms and processes. 2) Able to read and understand various forms, documentation, files, and scientific and technical information in the department. 3) Able to verify accuracy of purchase order items and costs and to monitor budgets. 4) Strong typing skills - excellent speed and accuracy. Advanced knowledge of word processing. 5) Ability to operate various office machines with proficiency including but not limited to: calculator, copy machine, shredder, computer keyboard, and computer software applications. 6) Strong oral and written communication skills. 7) Strong organizational skills. 8) Knowledge of administration and management protocols for academic and scientific faculty, students, and staff. 9) Ability to learn and perform all essential job functions accurately, with minimal direct supervision, within two weeks after an employee begins work. QUALIFICATION STANDARDS 1) High School diploma required with scientific and/or technical language experience preferred. Otherwise, any combination of education equivalent to graduation from high school or other combination of education, training, and experience provides the necessary knowledge, skills, and abilities. 2) A minimum of one year of experience performing similar tasks is required.
