Title: Administrative Assistant for Academic Affairs
Description: Academic Affairs is an exciting office whose work lies at the heart of the college’s mission. Reporting to the Vice President for Academic Affairs and Provost, the office ensures that the college has high-quality faculty and supports them in delivering a strong liberal arts curriculum that prepares students for life-long learning, rewarding careers and interesting lives.
This is a full-time, 11- or 12-month position.
Responsibilities
Support the work of the Assistant Provost
Prepare appointment letters for faculty and selected staff, track responses and follow up to guarantee action by recipients
Monitor and maintain applicant and new hire files, including soliciting, receiving and archiving copies of CVs and official transcripts
Support the faculty recruitment process, including supporting applicant travel, interview scheduling, and monitoring the process-including sending and verifying letters to applicants, candidates and new hires
Assist with financial requests, order processing and purchasing
Maintain files, electronic and hard copy
Collaborate to maintain and update comprehensive records on faculty, from initial appointment through separation from the college
Act as office receptionist and respond promptly and efficiently to general inquiries in person, via telephone, and email
Assist with scheduling appointments as needed
Update the website
Support Summer Orientation and Wick Weekend
Participate in significant campus activities including True Blue Weekend, Opening Convocation, Honors Convocation, and Commencement Weekend
Expected to comply with all applicable College, Federal, State, local and associational laws, rules and regulations
As a representative of the College, expected to comport oneself in a professional manner at all times, both on and off campus
Performs other job-related duties as assigned
Qualifications: Minimum requirements for the position are an Associate’s degree or higher from an accredited college or university, with at least two or more years of experience in an office setting, preferably in an educational institution.
Experience with Microsoft Office (Word and Excel), Google Workspace
Ability to perform mail merges with speed and accuracy
Ability to work on multiple priorities and/or projects simultaneously in a work environment that includes interruptions
Ability to close the loop when projects are completed, and to follow up on requests
Excellent communications skills, both verbal and written
Dependable, organized, and detail oriented
Ability to solve problems and meet reasonable deadlines
Ability to build positive, collaborative relationships
Ability to work both independently and in a team
Some bookkeeping knowledge strongly preferred

Wage range: $18.00 - $20.00
