  • Supervises the clinic when the Office Manager is out of the office.

  • Assists with daily, weekly, and monthly reports needed by clinical staff.

  • Completes and assists with completing Prior Authorizations for insurance companies, patients, and providers.

  • Is responsible for ordering office supplies for the clinic when the Office Manager is unavailable.

  • Works with providers in the clinic to ensure all paperwork, medications, and updates regarding the patients are available for the providers .

  • Has the ability to access external database systems in an effort to coordinate patient care (E-Paces, ISTOP, Care 360, and PSYKES).

  • Answers the telephone and provides information/assistance or routes callers as appropriate.

  • Takes messages and forwards them to the appropriate individuals.

  • Opens and closes clinics following proper procedure (see Open and Closing Procedures, can applicants see this?).

  • Greets visitors to the office and directs them as appropriate.

  • Collects payment for services in accordance with Horizon Health Services Fee Policy and collection practices.

  • Completes CFRs (Continuing Financial Reviews) for the billing department to access and correct when new insurance is used.

  • Schedules and reschedules patients as needed in accordance with insurance regulations and Horizon scheduling practices as described in the HHS NS/Cancellation Policy.

  • Prepares/pulls clinical records for the psychiatric

  • Composes and types routine correspondence using word processing software.

  • Makes copies, collates, and distributes materials as requested.

  • Opens, sorts, and distributes incoming mail, faxes, and other deliveries.

  • Scans, files, and retrieves clinical documents for record requests.

  • Prepares charts to be sent to the Medical Records archive.

  • Makes reminder phone calls for upcoming appointments on an as-needed basis.

  • Balances/pre-closes cash drawer.

  • Adds/removes clients from groups as directed by clinicians.

  • Completes initial client paperwork before client’s first appointment. Paperwork includes but is not limited to: demographic information, authorizations, and fee agreements.

  • Maintains cleanliness of the waiting area, coffee setup, and any other patient waiting room concerns.

  • Associate's degree required

  • Two years of experience in an office setting preferred


You’ll be working at one of our updated and inviting outpatient clinics in Erie, Niagara, or Genesee County. This position is specifically for our 3345 Southwestern Blvd, Orchard Park, NY location.


Who doesn’t love a Monday through Friday schedule? You’ll coordinate a personalized schedule with your supervisor. Our outpatient clinics offer expanded hours Monday – Thursday so we’ll ask you to be available at least 2 evenings per week. Don’t worry about jeopardizing your weekend plans… all outpatient locations close earlier on Fridays and are closed on weekends!

Horizon 2021 Recruitment Bonus Program

Eligible Hires and Payment Structure:

  • Full Time hires will receive $300 after 30 days of continuously working and another $300 after 6 months of continuously working for a total bonus of $600.

  • Part Time hires will receive $150 after 30 days of continuously working and another $150 after 6 months of continuously working for a total bonus of $300.

  • Bonus will be paid according to the employee’s PT or FT status as of Dec. 31st
