Description of Department: The mission of the Division of Extended Learning is to expand access to the SUNY Oswego experience through the creation, delivery and support of innovative and responsive credit and non-credit programming for diverse audiences via multiple locations, modalities and services. We cultivate collaborative partnerships and provide superior customer service to ensure high quality, lifelong learning opportunities. The Division coordinates offering of a variety of credit and non-credit bearing courses and programs for both nontraditional and traditional students at the Oswego campus, Syracuse Branch Campus, Online, during Summer and Winter terms and at offsite locations. The Extended Learning Divisions portfolio includes online learning program management, instructional design, academic advising and concierge student services. The Division is the home to the SUNY Oswego in the High Schools and Oswego County New Vision programs where eligible high school students are able to concurrently enroll in SUNY Oswego courses for college credit. Extended Learning also is home to the International Language Education Center which coordinates the offering of Intensive English programs offered year round for academically prepared international students who lack sufficient English skills to fully matriculate into a program of study, as well as our successful 40+ year old summer program for students from around the world.

The Division also offers English for Academic Purposes and U.S. Culture courses during traditional semesters for credit based students. Professional development programs are available by contract, on site, or online. The Division is proud to provide academic and support services to active duty military and veterans both online and face to face at the Syracuse and main campus resulting in numerous Veteran Friendly designations. The Division also provides services such as Testing and Proctoring Services, International Student Services, Non-Traditional Student Services and Room Rental at our Syracuse branch campus.

The Division of Extended Learning at the State University of New York at Oswego invites applications for an Academic Planning Coordinator position. This is a full-time,12-month position.

Description of Responsibilities:

The Academic Planning Coordinator (APC) is responsible for providing academic advising, expediting academic services and recruiting adult and non-traditional students enrolled in online, Syracuse based and Oswego based credit bearing degree and micro credential programs designed for adult and nontraditional students at SUNY Oswego. The APC consults with faculty, and sometimes businesses, to align micro credential program design, scheduling, and outcomes with industry need for skills and competencies. In collaboration with faculty, the APC advises on the development, offering and revision of credit and non-credit micro credentials via online, blended, web-enhanced and in person instruction and remains current with emerging trends in the micro credential field, while working closely with the Dean to ensure campus-wide collaboration in design, launch and implementation of micro credential programs.

The Academic Planning Coordinator (APC) assists students in identifying and understanding issues and procedures related to their educational objectives while taking classes. The APC cultivates strong relationships with inquiries, applicants, students and internal partners such as faculty, department chairs, as well as Extended Learning, Admissions, Registrar, Student Accounts, and Communication & Marketing staff, to provide excellent customer service and communication regarding academic supports for adult and non-traditional students. As the student's liaison, the APC educates students about policies, procedures and requirements to ensure students clearly understand them and have the support needed to succeed. The APC focuses on cultivating student development and empowering students to persist via individualized engagement and course planning.

Responsibilities also include:

  • Actively recruit students into academic programs by creating presentations, electronic, print and web materials, customizing and utilizing customer relationship management software and cultivating close working relationships with academic departments, faculty and other staff to establish a comprehensive support network for students.

  • Supports non-traditional students by leading and organizing events that engage students in academic and social supports, facilitates registration and appropriate access for course enrollment and takes steps to ensure student retention and success.

  • Assist with marketing and recruitment via print, electronic and in-person efforts.

  • Evaluate program applicants using the CRM, working collaboratively with Admissions Department.

  • Provide advisement to students on class selection, course planning, course load, academic policies and procedures, academic standing, degree requirements and other academic matters to facilitate timely degree completion and student success.

  • Maintain current knowledge of courses offered, major requirements, general education and graduation requirements, procedures, rules and regulations and other student services.

  • Coordinates the administrative approach and reporting components of micro credential programs, including logistics of in person classes, scheduling, tracking/reporting data, awarding electronic badges and facilitating payment.

  • Communicate with students in a culturally inclusive and competent manner.

  • Facilitate appropriate referrals to other departments and campus resources including but not limited to student accounts, career services, tutoring and other academic departments.

  • Thoroughly document all student engagement and communications within the CRM.

  • Prepares surveys, reports and assessments to ensure effectiveness.

  • Assist and participate in the development of support services, procedures and practices, which enhance student retention and success.

  • Assist and participate in the formation and implementation of organizational goals and objectives.

Required Qualifications:

  • Master's degree by time of appointment

  • 3 years professional work experience

  • Excellent interpersonal, public speaking and written communication skills

  • Strong project management, promotion, event planning and organizational skills

  • Strong analytical skills to assess and evaluate student needs

  • Ability to provide holistic approaches to advising, leveraging multiple support resources and referral mechanisms promoting retention

  • Dependability and a flexible schedule allowing for some pre-scheduled evening and weekend work

  • Positive problem-solving attitude

  • Demonstrated excellence in customer service

  • Clearly articulated commitment to diversity and inclusion of underserved populations

Preferred Qualifications:

  • Master's degree in Adult Learning, Higher Education Administration, Counselling, Student Personnel Services, Business Administration, Instructional Design, Communication or related field

  • Higher Education work experience

  • Prior experience offering academic advising

  • Prior experience recruiting higher education students

  • Prior experience using a customer relationship management system (CRM) in a higher education setting

  • Prior experience using the student information system (SIS), degree planning software and student retention systems

  • Knowledge of principles of best practice related to recruitment, advising, retention and success of adult and non-traditional students

  • Demonstrated work in diversity and inclusion issues, reflective of SUNY Oswego's student population, through professional activity, community service, or professional development

  • Previous experience teaching or learning online via online courses, hybrid courses or blended programs

  • Prior experience in educational program development, particularly micro credentials

  • Experience managing program logistics and operations
